Job Summary:
The Executive Assistant serves as a trusted advisor and collaborator to our CEO and members of the executive leadership team.  The primary duty of the role is to ensure the efficient administration of the CEO’s office, which includes the management of regular (daily, weekly, monthly) business activities as well as streamlining and improving the efficiency of processes.  Provides all administrative support with confidentiality, tact, and diplomacy to ensure effective and efficient operations, including business support services, functioning of facilities, meeting events, and day-to-day schedule.
 
Essential Duties & Responsibilities:
  • Act as a partner and confidante to the CEO and the executive leadership team.
  • Help to ensure the CEO’s time is spent in the most productive way through management of the CEO’s calendar, including prioritization and resolution of the many and often conflicting demands for the CEO’s time.
  • Manage full business activities of our CEO, up to and including calendar.  Coordinate and schedule meetings, travel arrangements, and conferences.
  • Maintain a six-month look ahead master calendar for CEO depicting key region, operating, and customer/site meetings.  Simplify and prioritize meetings based on key business priorities at hand.
  • Communicate information from the CEO to executive leadership team for awareness, alignment and clarity.
  • Prepare general communication to the executive team.  Outlines agenda for CEO staff calls, and facilitates agenda and order.
  • Organize and prioritize business information for CEO in preparation for executive reviews, including confidential and non-routine data
  • Maintain files, board meeting dates, tax documents, audits, correspondence, and presentations for historical reference.  Enters and implements purchase orders as needed.
  • Maintain current contact information for executives in support of CEO communication and teaming
  • Receive, screen, and direct incoming calls, and mail and email. Support visitors as they come in for meetings with CEO or executive team.  Help to schedule interviews as needed
  • Helps with special projects such as Global EHS Day coordination and logistics.
  • Use independent judgment and decision making to organize events,  volunteer activities, negotiate with vendors, coordinate team building activities & staff meetings, etc, for the CEO and executive team.
  • Order supplies, and track administrative expenses
  • Create and develop business presentations for CEO as needed
  • Support executive team with facilities needs, including work orders. 
  • Help other executives as needed for conference room needs and catering
  • Complete facility requests, equipment purchases, etc as needed.  Help with outgoing shipments such as FedEx deliveries
  • Travel may be required
  • You may be assigned other duties to help proactively drive our company purpose and core values.
Required Qualifications & Experience:
  • High School diploma or equivalent
  • 5+ years of experience at an executive administrative level or 10+ years of experience in an administrative support position
  • Ability and willingness to work holidays, weekends on an as-needed basis
  • Ability to work independently or in cross functional teams
  • Excellent customer service, teamwork, and interpersonal skills
  • Strong business presentation skills
  • Ability to complete multiple projects and tasks within time constraints, with a sense of urgency
  • Change leader; able to confront and handle ambiguity, and steady under pressure
  • Ability to interface effectively with all levels of the organization as well as organizations outside of FieldCore

Compensation and Benefits:

The annual salary range for this position is $76,300 to $122,100. This is an exempt from overtime position. FieldCore benefits include insurance (medical, dental, vision, disability, and life), retirement savings, health and Wellness reimbursement, and a bonus or incentive program. Eligibility for FieldCore benefits is determined under the terms of the applicable benefits plan.
