In this role, you will be the administrative backbone of the maintenance department, responsible for managing the Maintenance, Repair, and Operations (MRO) inventory and administering our Computerized Maintenance Management System (CMMS). The ideal candidate will ensure that maintenance technicians have the right parts at the right time, and that all work orders, preventive maintenance schedules, and equipment histories are accurately tracked and documented
Key Responsibilities:
Parts & Inventory Management (MRO)
- Manage the day-to-day operations of the maintenance parts cage/room, ensuring it is secure, organized, and clean.
- Receive, inspect, and stock incoming parts and supplies, verifying packing slips against purchase orders.
- Conduct regular cycle counts and full physical inventory audits to maintain accurate stock levels.
- Identify low stock levels and initiate purchase requests to reorder critical spare parts and consumables.
- Work directly with vendors and suppliers to request quotes, track shipping/delivery times, and resolve issues with incorrect or damaged shipments.
- Kitting parts for upcoming scheduled preventative maintenance (PM) tasks.
Work Order Tracking & Work order Administration
- Serve as the primary point of contact for receiving maintenance requests from warehouse staff and management.
- Enter, track daily work orders and preventative maintenance (PM) schedules
- Review completed work orders submitted by technicians for accuracy, ensuring labor hours, parts used, and repair notes are fully documented before closing them out.
- Generate weekly and monthly reports on key maintenance metrics (e.g., PM completion rates, inventory costs, equipment downtime).
- Maintain accurate and up-to-date equipment, asset logs and manuals.
Administrative & Safety Support
- Assist the Maintenance Manager with tracking departmental expenses and managing the maintenance budget.
- Maintain safety and compliance documentation, including SDS (Safety Data Sheets) for chemicals and lubricants used by the team.
- Promote a safe working environment by adhering to all warehouse safety protocols (OSHA compliance).
Qualifications/skills:
- Education: High School Diploma or equivalent required; Associate degree or vocational training in business administration or supply chain is a plus.
- Experience: 1–3 years of experience in an administrative, inventory control, or parts clerk role, preferably within a warehouse, manufacturing, or maintenance environment.
- Technical Skills: * Proficiency in data entry and Microsoft Office Suite (Excel, Word, Outlook).
- Prior experience using a CMMS (e.g., Maximo, UpKeep, Fiix, eMaint) or inventory management software is highly preferred.
- Soft Skills: * Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to work independently in a fast-paced environment and handle multiple tasks simultaneously
- Physical Requirements: Ability to safely lift and move parts weighing up to 50 lbs. Must be able to stand, walk, bend, and reach frequently throughout the warehouse.
