Advanced Systems Group LLC. is seeking an experienced Production Coordinator.   
   
This contract role supports our client's Global Studio Services team that produces, films, and edits video projects with multiple internal teams including: Content & Partnerships, Marketing, Cameos, Engineering, Communications, DEI, AR.

Job Responsibilities:     
  • Self-prioritize between multiple tasks and communicate with requesters on progress and timing of requests
  • Raise any bandwidth issues to Producers, Lead Producers, Executive Producers, etc.
  • Work with Producers to refine and streamline production processes
  • Attend shoots if needed to operate as a production support on set
  • Maintain production tracker spreadsheets and budget tracker spreadsheets
  • Coordinate pre-production meetings, tech scouts, and post production meetings
  • Create and distribute call sheets to internal and external crew and talent
  • Collect and organize crew contact info and update/curate crew databases
  • Book and coordinate crew for onsite and offsite productions
  • Retrieve vendor quotes for crew from various external vendors, submit purchase requests and track purchase orders
  • Coordinate and plan productions with tools like Jira, Google Drive Suite, etc.
  • Properly close out productions by organizing and communicating actualized expenses
  • Coordinate talent release forms and other legal production documents as needed
  • Collect production receipts and ensure that they are preserved for expensing
  • Assist with scouting production locations and film permitting
  • Build and maintain budgets
  • Schedule, plan, create and manage production schedules
  • Track expenses/budget, process invoices, assist in keeping productions in-budget
  • Secure shooting locations and arrange transportation/accommodations as needed
  • Hire & manage production assistants, liaise between various departments to ensure everyone
    is on the same page regarding schedules, changes & updates
  • Ensure productions comply with regulations & labor laws and obtain permits and insurance
  • Manage safety protocols, emergency procedures & risk assessment
  • Assist in coordinating DIT and post production support
  • Keep detailed records of production activities, expenses & contracts
  • Find solutions when encountering unexpected challenges
  • Support the production team by ensuring they have the resources and info needed

Required Qualifications & Experience:     

  • Can work on-site from our client’s Santa Monica office M-F
  • A minimum of 2 years of work experience with a production company, studio, or on film/TV projects
  • Knowledgable of aspects of video production, pre-production, and/or post-production
  • Competency with Mac OS and iOS
  • Proficiency with Google Suite applications (Drive, Sheets, Slides, Docs, etc.)
  • Ability to safely lift and carry equipment weighing 25 lbs or more

Nice-to-Have Qualifications & Experience:     

  • Fluency with social media platforms and best practices
  • Experience Jira user and/or developer
  • Familiarity with Adobe Creative Cloud programs (especially Premiere Pro)
  • A good knowledge of film set equipment (c-stands, backdrops, tripods, etc.)
  • A good knowledge of cameras, microphones and editing tools
Compensation & Benefits:    
   
This role is paid an annual rate of $70,000-75,000 depending on experience.
