Overview of the Role
This is a client-facing role where the Executive Assistant will be responsible for managing various business-related tasks for the team. These tasks include preparing reports, coordinating travel and accommodation arrangements, taking meeting minutes, and handling other organizational duties to ensure smooth operations and support for the team.
Main duties include:
- Manage the executive’s calendar, schedule meetings, and coordinate travel arrangements.
- Support administrative projects, including working with or managing other administrative staff or personal assistants.
- Research and create materials for meetings and presentations, ensuring all necessary information is available for decision-making.
- Prepare and present reports to the Executive Team, ensuring timely and accurate information to support strategic planning.
- Handle general administrative tasks, including managing petty cash, processing mail, and tracking office supplies.
- Respond to emails, manage the executive’s inbox, take phone calls, and act as a gatekeeper for communications.
- Serve as a liaison by meeting with clients, relaying messages, and ensuring efficient communication.
- Maintain and manage contact lists, providing relevant context for communication and meetings.
- Solve problems through critical thinking and make managerial decisions as needed to keep projects moving.
- Utilize (or quickly learn) tools for document creation, file management, meetings, communication, and archiving.
Successful applicants should:
- A graduate of Office Administration, Business Admin or any related courses.
- With a minimum of 5 years of working experience with the C-level, either directly as an EA or assisting the EA.
- Professional demeanor, in both appearance and communication.
- Knowledge of international or cultural differences.
- Technical skills, such as common business software and protocols.
- Sophisticated management and organizational abilities.
- Relevant industry background or knowledge for the company the executive works at.
- Prior experience in high-level administrative support cannot be over-emphasized. Depending on the employer, salary may be tied to experience.
- Exhibit emotional intelligence to navigate interactions with stakeholders, fostering positive relationships and minimizing conflict.

- Internet Connection of at least 15 Mbps
- Residence within Cebu or Cagayan de Oro only
