SUMMARY 

The People Solutions Specialist collaborates with various departments including, but not limited to, Payroll, Operations (service categories, States, Supervisors, Managers, Employees, etc.), Human Resources: People & Culture (P&C), Talent Acquisition, Benefits, and other cross-functional teams to ensure an elevated employee experience. The Specialist serves as the subject matter expert (SME) for assigned People Solutions processes, providing advanced support in employee lifecycle administration, HR systems, reporting, compliance, and complex case resolution. The role ensures the accurate and consistent delivery of HR services, maintains data integrity across HR systems, provides guidance to stakeholders on HR policies and processes, and partners with Operations and People & Culture teams to continuously improve service delivery, operational efficiency, and the overall employee experience.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Customer Service and Relationship Management
    • Serves as the primary point of contact and subject matter expert (SME) for complex People Solutions inquiries, ensuring timely and accurate resolution within established service level agreements (SLAs).
    • Delivers exceptional customer service to employees, managers, and cross-functional stakeholders by providing expert guidance on HR policies, procedures, and employee lifecycle processes.
    • Builds and maintains strong working relationships with Operations, Payroll, Talent Acquisition, Benefits, and People & Culture to support business objectives and enhance the employee experience.
    • Handles escalated employee and stakeholder concerns, providing recommendations and appropriate resolutions while ensuring policy compliance.

  • Work Product and Accuracy
    • Ensures the accuracy, completeness, and timeliness of complex HR transactions while maintaining high standards of quality and compliance.
    • Performs quality reviews and audits of employee records and HR transactions to identify discrepancies, mitigate risks, and ensure data integrity.
    • Analyzes trends, identifies process gaps, and recommends continuous improvement initiatives to improve efficiency and service delivery.
    • Supports the development, documentation, and standardization of People Solutions processes and Standard Operating Procedures (SOPs).
  • Human Resource Systems and Documentation
    • Serves as the SME for HR systems, ensuring accurate maintenance of employee records and data across HR platforms.
    • Oversees complex HR system transactions including hires, transfers, promotions, compensation changes, leaves, terminations, and organizational updates.
    • Performs data validation, reconciliations, and reporting to ensure HRIS accuracy and compliance.
    • Supports system enhancements, testing, process automation, and implementation of new HR technologies when applicable.
    • Generates and analyzes HR reports to support operational and business decision-making.
  • Legal and Compliance
    • Ensures compliance with company policies and applicable federal, state, and local employment regulations.
    • Coordinates with People & Culture on employment verifications, subpoenas, legal requests, audits, and other regulatory requirements.
    • Maintains confidentiality and protects sensitive employee information in accordance with company policies and data privacy standards.
    • Identifies potential compliance risks and recommends corrective actions to mitigate operational impact.
  • Collaboration and Teamwork
    • Partners closely with Operations, Payroll, Benefits, Talent Acquisition, Finance, IT, and People & Culture to resolve complex issues and improve employee support processes.
    • Serves as a resource and mentor for junior team members by sharing knowledge, providing coaching, and supporting onboarding and training initiatives.
    • Participates in cross-functional projects, process improvement initiatives, and system implementations that support organizational objectives.
    • Actively contributes to team meetings, calibration sessions, and continuous improvement discussions by providing recommendations and sharing best practices.

QUALIFICATION

Bachelor’s Degree graduate in Business, Human Resources, Psychology or related field with at least of 4–5 years of progressive HR Operations, Shared Services, HRIS, or People Solutions experience. Experience handling employee lifecycle administration in a shared services environment; Experience with HRIS platforms such as ADP, Workday, SAP SuccessFactors, Oracle HCM, or similar systems is preferred

KNOWLEDGE, SKILLS AND ABILITIES

  • HR Expertise: Strong knowledge of HR operations, employee lifecycle processes, and HR compliance. Understanding of HR policies and best practices.
  • HR Systems: Advanced proficiency in HRIS platforms and Microsoft Excel.
    Ability to troubleshoot HR system issues and recommend solutions.
  • Communication Skills: Demonstrates advanced verbal and written communication skills, with the ability to analyze, interpret, and translate complex information into clear, actionable insights for diverse audiences. Develops and delivers impactful presentations, training materials, and business communications that effectively influence stakeholders and drive outcomes.

  • Technical Skills: Maintains advanced working knowledge of Human Resources systems and technologies, including HRIS, ATS, and related platforms (e.g., ADP, Jobvite, Passport, etc.), as well as Microsoft Office applications (Excel, PowerPoint, Word, Outlook, and Teams). Leverages technology, reporting tools, and data analytics to drive informed decision-making, process efficiency, and continuous improvement.

ADDITIONAL PREFERRED QUALIFICATIONS:

  • 4–5 years of experience in HR, HR Operations, HR Shared Services, HRIS, or People Solutions. 
  • Experience serving as a Subject Matter Expert (SME) for HR processes and employee lifecycle administration. 
  • Strong working knowledge of HR systems and platforms, with hands-on experience in ADP Vantage preferred. Experience with Jobvite, Passport and other HRIS applications, as well as advanced proficiency in Microsoft Office, particularly Excel, is an advantage. 
  • Demonstrated ability to analyze data, identify process improvements, and support continuous improvement initiatives. 
  • Experience developing SOPs, process documentation, and knowledge-sharing materials. 
  • Strong problem-solving, stakeholder management, and customer service skills. 
  • Ability to coach team members, manage multiple priorities, and handle confidential information with professionalism. 
  • Experience supporting a U.S.-based or global Shared Services environment is an advantage.
