About the office

Student Administration at the University of Notre Dame provides expert guidance, operational support, and a wide range of student services. It manages key regulatory, policy, and compliance responsibilities to support the academic decision-making of Faculties, Schools, and other relevant university departments.

About the role

The Senior Administration Officer – Examinations is responsible for managing and ensuring the efficient delivery of student examinations. The position provides professional, high-quality administrative support to the Team Leader, Student Administration, and contributes actively to the broader Student Administration team. The position reports to the Team Leader Student Administration.

Key Responsibilities

  • Provide high-level administrative support and advice for all examination processes.
  • Coordinate examination scheduling with the Timetabling team, including deferred, supplementary, and alternative exams.
  • Prepare reports, correspondence, and documentation to support examination governance.
  • Oversee examination delivery, including incident management and invigilator coordination.
  • Support compliance with examination policies, procedures, and appeals processes.
  • Maintain student records and respond to student enquiries.
  • Provide front counter support and assistance with other duties as directed.
  • Adhere to University policies, procedures, and professional standards.

Qualifications, skills & experience

  • Completion of a degree, or an equivalent combination of relevant education, training, and/or experience.
  • Demonstrated administrative experience, preferably in tertiary or education settings.
  • Strong self-motivation and initiative, with the ability to contribute effectively to team settings.
  • Strong organisational, planning, and time management skills to achieve targets.
  • Demonstrated ability to communicate effectively, both verbally and in writing, and to build positive interpersonal relationships.
  • Strong digital literacy combined with accuracy and a keen eye for detail.
  • Proven ability to exercise sound judgment, diplomacy, and discretion in handling sensitive matters.
  • Experience handling sensitive and confidential information appropriately and professionally.
