Temporary Order Entry Specialist

We are currently looking to add a well-rounded Temporary Order Entry Specialist temp to our Sponsorship revenue team.

New York Public Radio (NYPR) seeks to expand our Sponsorship Department with an Order Entry Specialist. This role will be responsible for creating, inputting, and tracking all orders throughout the lifecycle of a campaign. The Order Administrator will play a crucial role in working between the Sales team and the Advertising Operations. The role will focus on inputting correct dates, products, revenue, etc. into internal systems and communicating all orders to internal and external teams. The role will report to the Director of Ad Operations.

Primary Responsibilities:

  • Process all orders accurately and efficiently with the utmost attention to detail
  • Review sales documentation for completeness. Ensure all orders have full documentation according to company policy.
  • Follow standard procedures to maintain order integrity
  • Respect and protect the sensitive nature of files by maintaining the highest level of client confidentiality
  • Review incoming orders for completeness and accuracy; resolve discrepancies
  • Escalate orders when needed to ensure issues are identified and resolved
  • Track the status of customer purchase orders and continue to follow-up until successfully closed
  • Stay informed and up to date on new products, services, and policies
  • Collaborate with Sales, Sales Assistants and Associates, Marketing Strategy, Ad Operations and other teams to manage the order to completion – meeting or exceeding customer requirements
  • May perform other duties and participate in other projects as required by the department

Qualifications:

  • A passion for service and a commitment to excellence
  • 2+ years of customer service, order entry, data entry or related experience
  • Proficiency with Microsoft Office including Word and Excel
  • Ability to identify and solve problems; solutions oriented
  • Adept at office/administrative tasks – sorting, responding to emails, speaking to customers, etc.
  • Ability to write clearly and concisely; organizes thoughts effectively
  • Proactive; seeks to be involved
  • Team-oriented; passion for working with others

Experience:

  • Microsoft Excel: 2 years (Preferred)
  • Order entry: 2 years (Preferred)
  • Experience with Wide Orbit a plus but not mandatory
  • Ability to quickly learn and master new systems
  • Ability to multi-task and efficiently manage time and priorities is critical
  • Familiarity with front-end order management systems a plus
  • Affinity for Public Radio, a plus
  • Affinity for podcasts, a plus
  • Excellent organization and communication skills 
  • Must possess great attention to detail
  • Understands the need to put in the extra mile to get orders completed

Additional Role Information

This is a temporary full-time role for the span of 3-months.

Due to the COVID-19 pandemic, this role is currently operating remotely but based on preference, could include some time in the office if fully vaccinated against COVID-19.
