Position Summary

The Associate Director of Executive Affairs  will join the team at KIPP Northern California during an exciting phase of growth and organizational development. They will be responsible for supporting our CEO, Cherese Brauer.

This individual will report to the Chief Equity & Strategy Officer with a dotted line to the CEO, and be charged with amplifying the success of the CEO, ensuring that their time is spent in alignment with organizational priorities and that they are supported to be highly effective.  The Associate Director of Executive Affairs will learn the inner workings of a dynamic, mission-driven organization with a strong track record of results from seasoned educational and nonprofit professionals. In addition, they are responsible for providing expert administrative support and facilitating strong partnership between the CEO, the Executive Team and the Board of Directors. The ideal candidate will demonstrate that they possess a mature, professional demeanor, and is a self-starter who takes initiative and thrives in a fast-paced environment. They are a great relationship builder who effectively engages with a vibrant community of stakeholders, has strong systems for managing work, effective prioritization, and is expert at ‘seeing around corners,’ anticipating upcoming needs and conflicts and resolving them. 

The role is based out of our Regional Office in downtown Oakland (BART accessible), with frequent travel to our local schools and communities throughout Northern California – including San Jose, the Peninsula, San Francisco, the East Bay, and Stockton. This position starts immediately. 

Preferred Qualifications

Experience:

  • Previous work experience required; 3-4 years of relevant work experience strongly preferred 

Education:

  • Bachelor's degree or equivalent experience highly preferred.

Essential Functions and Responsibilities

Drive Best-in-Class Governance and Board practices

  • Plan and project manage KIPP NorCal board meetings and materials, working cross-functionally across teams to ensure high quality, inclusive and legally compliant meetings.  
  • Responsible for KIPP’s compliance with all governance regulations and lead annual governance compliance tasks, including new board member orientation, annual board training, annual board self-assessment, and coordinating as needed Public Records Act request responses, etc. 
  • Serve as Board Secretary, ensuring that board minutes, calendars, board terms and committee assignments are updated and legally compliant. 
  • Serve as the staff lead for the Governance Council, managing Governance Council meetings and onboarding and offboarding of KIPP board members.
  • Collaborate with legal counsel and other departments to develop and pass internal policies.

Board and External Stakeholder Engagement

  • Support all logistics for the Quarterly Board meetings including on-site, in-person support for all meetings, specifically:
    • Coordinate with Chief Equity & Strategy Officer and CEO to develop quarterly Board meeting agendas
    • Ensure that Board meetings are in compliance with the Brown Act
    • Provide administrative support in the assembly and delivery of electronic and printed board materials
    • Participate in Board and council meeting by taking notes, sending follow up communications and ensuring that action items are completed
  • Create and distribute bi-weekly CEO correspondence with Board of Directors
  • Calendar council meetings and co-create council meeting agendas with the support of the Board Secretary and CEO
  • Manage onboarding and offboarding process for incoming and outgoing board members, respectively
  • Manage stakeholder relationships in partnership with the CEO

Cross Team Collaboration and Engagement

  • Plan and coordinate logistics with the Chief Equity & Strategy Officer to support the CEO’s effective facilitation of, and bring to life the vision for, senior leadership team meetings and offsites 
  • Collaborate and coordinate across Marketing & Communications, Development, and Board Secretary teams; including, but not limited to, the following tasks:
    • Proactive communication around CEO’s calendar and quarterly priorities so that teams are aligned on CEO’s time and have visibility into her schedule in advance. 
    • Willingness to join select/ongoing meetings with development to get a sense of teams’ funder landscape to begin to connect the dots between names and relationships and help support getting emails and other communication sent to or from CEO to donors and partners in a timely way. 
    • Proactively share meetings or conversations the CEO is having that may be pertinent to fundraising with development and seek support on strategy and follow-up where needed. 
    • Ability to support on prep (printing materials, getting things to CEO, etc) for in person donor engagements as needed throughout the year.

    Physical, Mental and Environmental Demands

    Physical: Ability to navigate office and school campuses, and hold meetings in different spaces. Traditionally, much of the day involves sitting. Ability to access and utilize technology. Occasional lifting/carrying of equipment 1-20 lbs.

    Mental: Stress of deadlines and normal work standards, ability to analyze problems and generate alternatives, work with interruptions, concentrate for long periods of time, read, calculate, perform routine math problems, memorize and recall objects and people.

    Environmental: This role is currently hybrid with a minimum requirement of 2 days on site (schedule subject to change based on organizational needs). Office environment subject to constant interruptions and distractions.  Occasional classroom/school environment and frequent travel (~30%). Adhere to KIPP’s health and safety guidelines as outlined by the CDC, CDE, and public health agencies’ recommendations.

    This is a full-time, exempt position on a full year calendar cycle, located in our Regional Support Office with frequent travel to schools and districts.
