Position Summary

The Operations Associate will play a critical role in maintaining the systems that support excellent teaching and learning. They will help manage school wide operational systems, and will be the lead support on various operational services that are provided to students. They must also passionately believe in the value of a KIPP education and have the ability to enthusiastically share that vision and belief with others. This position is an excellent opportunity for a highly driven self-starter to support a high-performing school. 

The Operations Associate reports to the Director of School Operations. This is a full-time, non-exempt.

  • Minimum 1 years of work experience, 2 or more years strongly preferred


  • High school diploma required

Knowledge/skills required:

  • Bilingual in Spanish is required.
  • Positive attitude and friendly demeanor with ability to communicate effectively with students and families. Comfortable calling and speaking with KIPP families regarding their student(s) or student issues.
  • Ability to work well with others and build relationships across teams.
  • Ability to self-direct, prioritize and multi-task among competing goals.
  • Strong organizational skills with keen attention to detail.
  • Comfortable working in a fast-paced environment and completing tasks according to precise instructions.
  • Demonstrated proficiency with Google Apps for Education (Docs, Sheets, Slides, Forms)
  • Excellent written and verbal communication skills with keen attention to detail

Essential Functions and Responsibilities

Manage critical COVID-19 health and safety tasks to keep our community safe

  • Facilitate and supervise on-site COVID-19 testing of students and staff, including:
    • Coordinating COVID-19 test support specialists to administer tests on a weekly basis
    • Maintaining testing supplies on campus
  • Support COVID Reporting and Contact Tracing, including:
    • Communicating with families that report a COVID case or exposure
    • Submitting COVID reports, following steps outlined in project plan, and maintaining communications logs.
    • Following up with students and families to check in on symptoms and confirm their return to campus. 

Manage student absences data

  • Arrange morning calls home to students who are absent
  • Support a culture of high attendance by tracking unexcused absences
  • Maintain complete and accurate student records in cumulative folders and in PowerSchool

Manage operations student services

  • Coordinate the school bus routes, liaising with vendor, soliciting feedback from families/students, managing the bus waitlist, reporting bus complaints
  • Coordinate school meals, 
  • Coordinate student IDs production and distribution
  • Process requests for work permits, transcripts, and parking permits

Support communications systems

  • Help prepare monthly bulletins in English and Spanish
  • Assist in the preparation of all parent communications, including letters and report cards
  • Assist in maintaining updates and newsletters on the school website
  • Manage communication systems with families by sending out mailings and using the ParentSquare system for school events

Support school leadership with creating a joyful learning environment

  • Support with furnishing and decorating the facilities to model school values and culture
  • Support with implementing school safety plans and procedures
  • Assist with on-campus and off-campus school events, including student field trips
  • Adhere to KIPP’s health and safety guidelines as outlined by the CDC, CDE, and public health agencies’ recommendations
  • Assist with other tasks and projects as necessary or assigned

Physical, Mental and Environmental Demands  

Physical: Ability to navigate office and school campuses, and hold meetings in different spaces. Traditionally, much of the day involves sitting. Ability to access and utilize technology. Occasional lifting/carrying of equipment 1-20 lbs.

Mental: Stress of deadlines and normal work standards, ability to analyze problems and generate alternatives, work with interruptions, concentrate for long periods of time, read, calculate, perform routine math problems, memorize and recall objects and people.

Environmental: Office and/or classroom environment subject to constant interruptions and distractions.  Occasional classroom/school environment and travel. In emergency context (e.g., pandemic) work may be conducted virtually fully or partially for extended periods of time or longer, and the expectation is that the individual will establish a productive, remote work environment (e.g., ability to stay connected through different technology means). It may require remote work as current public health guidelines warrant.
