Responsibilities & Expectations: 

The Financial Coordinator is responsible for maintaining accurate financial records, supporting daily accounting operations, and ensuring compliance with company policies and accounting standards. This role plays a vital part in managing accounts payable, accounts receivable, billing, cash application, and general ledger activities to ensure financial accuracy and operational efficiency.

 

  • Accounts Payable Responsibilities:
    • Review, verify, and process vendor invoices accurately and in a timely manner.
    • Match invoices to purchase orders and ensure proper coding to the general ledger.
    • Prepare and execute payment runs, including checks, ACH, and wire transfers.
    • Maintain vendor records and respond to vendor inquiries regarding payments and discrepancies.
    • Reconcile accounts payable transactions and assist with month-end closing procedures.
    • Ensure compliance with internal controls, policies, and documentation requirements.

 

  • Accounts Receivable & Billing Responsibilities:
    • Manage day-to-day billing processes for assigned accounts.
    • Ensure accurate and timely invoice preparation, distribution, and portal processing.
    • Confirm all required documentation is present prior to invoicing.
    • Post customer payments and accurately apply payments within ERP systems.
    • Research and resolve payments without remittances and unapplied cash.
    • Reconcile cash receipts between bank accounts and accounting systems.
    • Work closely with collections and operations teams to resolve discrepancies.
    • Verify deductions, credits, and rebills for accuracy and compliance.

 

  • General Bookkeeping & Accounting Responsibilities
    • Maintain and reconcile general ledger accounts.
    • Prepare and post journal entries.
    • Perform monthly bank and credit card reconciliations.
    • Assist with month-end and year-end closing processes.
    • Prepare financial reports, including income statements and balance sheets.
    • Maintain organized financial records and supporting documentation.
    • Support internal and external audits by providing requested documentation.
    • Identify and recommend process improvements to enhance efficiency and accuracy.

 

Qualifications and Competencies: 

  • College Diploma in Accounting, Bookkeeping, Finance or related
  • Three years or more experience in bookkeeping or full accounting cycle experience
  • Proficiency with accounting software ( eg. Sage 50, Quickbooks or similar)
  • General understanding of billing procedures in accordance with acceptable accounting practices preferred.

Pay Rate Details: $60,000 - $75,000 CAD, depending on skills and experience.
