The Office of the Registrar at the College of Holy Cross functions as a service office, supporting the College’s academic community. It maintains accurate and complete academic records, interprets and communicates academic policies and procedures to students, academic administrators, and faculty members. The office strives to accomplish its mission using the most appropriate and efficient use of College resources while seeking to enhance services to all constituents.
ABOUT THE ROLE
The office seeks an Assistant Registrar for Curriculum and Student Engagement (ARCSE). This role oversees curriculum management, course scheduling, and the implementation of academic courses, programs, and policies approved by the College. This position represents the office to a myriad of partners across campus, including students, the Provost’s Office, Deans, Department Chairs, Marketing & Communications, and Information and Technology Services. This role reports to the Registrar.
RESPONSIBILITIES
The ARCSE’s primary duties include:
Curriculum Management
  • Manages the College's curriculum development and approval process. Reviews submitted course proposals and changes to ensure compliance with college policy. Identifies potential issues within curricular proposals. 
  • Serves as the knowledge expert regarding the curricular process.
  • Responsible for maintaining accurate course information in the curriculum database (CourseLeaf) and PeopleSoft. Responsible for training faculty and staff on how to use CIM. 
Course Catalog
  • Collaborates with departments across campus, to coordinate production of the College’s annual academic catalog. 
Course Scheduling
  • Works closely with department chairs to develop the schedule of classes. 
  • Reviews and approves department schedules to ensure compliance with policies regarding time patterns and course allotment in specific time periods. 
  • Trains the class schedule builders in academic departments on the software used to build the schedule.
  • Develops the production schedule for the semester class schedule build.
Final exam scheduling 
  • Responsible for the creation and production of the semester final exam schedule each semester.
  • Works with academic departments to determine which courses have exams and schedules them appropriately.
  • Responsible for ensuring rooms are assigned appropriately for finals and uploaded into EMS. 
Internal and External Communications 
  • Responsible for managing the primary channels used for communicating policies, information and updates to a variety of internal and external audiences, including current students, faculty, prospective students, parents, and transfer students. 
  • These channels include the Registrar’s website, intranet site and incoming student site. 

QUALIFICATIONS AND EXPERIENCE
  • Have a minimum of a Bachelor's degree and three years experience in registrar operations, curriculum management, or related areas in higher education OR a Master’s with two years of experience. 
  • Experience with student information systems and scheduling software.
  • Superior organizational skills and ability to handle multiple tasks simultaneously and meet deadlines in a busy, complex environment with competing priorities. 
  • Must demonstrate impeccable attention to detail. 
  • Must be proficient in standard office software and the ability to learn new software. 
  • Ability to work independently and anticipate and resolve problems with minimal supervision in a work environment of multiple and conflicting priorities. 
  • A high level of competence and a demanding combination of time management, administrative, organizational, and interpersonal skills, flexibility, and good judgment. 
  • Excellent written and oral communication skills. 
  • Ability to build and maintain strong relationships with colleagues and ability to collaborate with others. 
  • Ability to troubleshoot and think creatively to resolve issues.  
The following attributes are preferred, but not required for consideration:
  • Experience with resource scheduling software (i.e. EMS), student information systems (i.e. PeopleSoft, Workday) and curriculum management systems (i.e. CourseLeaf).
