Documentation Specialist

Position Overview

The Documentation Specialist is responsible for developing, writing, and maintaining various types of user documentation, including how-to guides, instructions, SOP's, and  Policies and Procedures, that promote long-term understanding and sustainability for the execution of CJ Logistics key processes.   This individual will also manage and maintain a centralized document repository to facilitate easy access to relevant documentation for the entire CJ Logistics Enterprise
 

Essential Duties & Responsibilities

  • Develop clear, concise, and accurate technical and operational documentation, including, user manuals, standard operating procedures (SOPs), work instructions, and process flow diagrams
  • Work closely with engineers, quality, project teams, subject matter experts, and other stakeholders to gather information and verify the accuracy of details
  • Translate complex technical, process and procedural information into user-friendly content for various audiences, including warehouse operations and operational support teams
  • Collaborate with cross-functional teams to ensure alignment between documentation and actual operating processes
  • Has ownership of and will regularly review and update existing documentation to reflect changes in processes or procedures
  • Ensure that documentation adheres to industry standards, regulatory requirements, and company guidelines
  • Conduct thorough reviews of documentation to ensure accuracy, completeness, and consistency;
  • Organize and maintain a centralized document repository to facilitate easy access to relevant documentation
  • Implement document control procedures to manage revisions, approvals, and distribution
  • Stay up-to-date with industry standards and best practices related to SOP development and documentation
  • Additional job duties as assigned.
 
 

Requirements and Qualifications

  • High school diploma and equivalent experience is required; Bachelor's degree is preferred
  • 3+ years of relevant work experience, preferably in Supply Chain
  • Strong writing and editing skills, with excellent attention to detail
  • Ability to understand and communicate complex ideas to both technical and non-technical audiences
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.
  • Experience with using Microsoft Office software including Word, Excel, and PowerPoint; familiarity with Adobe Acrobat Pro and flowcharting software
 

Preferred

  • Knowledge of ISO and ISO Documentation Requirements
  • Experience with Food Safety Regulations and Documentation Requirements
  • “Roll up your sleeves” mentality; problem-solving skills
  • Self-starter who is eager to learn about and document new technologies
  • Experience with HTML
  • Stand and walk in a warehouse environment that is not climate-controlled for hours at a time.
  • Travel up to 25%
