OVERVIEW: 
Are you ready to embark on an exhilarating journey as the Executive Assistant to our CEO? This isn't merely a job; it's your chance to become the linchpin of a dynamic, high-stakes global law firm. As the Executive Assistant to our CEO, you'll be tasked with ensuring seamless operations across the firm, assist in driving strategic initiatives, and act as the guardian of the CEO's time and accessibility. Operating in tandem with the CEO, your day-to-day impact will involve providing them with more time and information so they can concentrate on effectively steering the firm. Your responsibilities transcend merely making things run smoothly; they involve orchestrating the success of our CEO and, by extension, the entire firm at BAL! 
 
PRIMARY RESPONSIBILITIES: 
  • Provide comprehensive administrative support, including:
    • Managing the calendar proficiently
    • Skillfully processing invoices, with the ability to discern significant issues or changes from month to month
    • Facilitating travel arrangements and handling expense reports
    • Undertaking scanning and filing tasks as required
    • Scheduling and overseeing meeting logistics, including room reservations, catering, and conference call/video conference coordination
  • Deliver exceptional customer service to every member of the firm, recognizing that you are a representative of the CEO
  • Independently troubleshoot problems and proactively anticipate needs
  • Analyze data at a high level when necessary
  • Prepare and update communications, spreadsheets, presentations, and other documentation
  • Plan, coordinate, and oversee office events
 
QUALIFICATIONS: 
  • Bachelor’s degree or equivalent education and/or experience
  • Minimum of 5 years of related experience required
  • Exceptionally customer-service oriented
  • Outstanding interpersonal and communication skills, both written and verbal
  • Demonstrates a high degree of professionalism while maintaining a sense of levity
  • Ability to maintain strict confidentiality
  • Expertise in MS Office Suite, Outlook, and other applications
  • Strong project management skills, including managing timelines and tracking progress
  • Proven problem-solving and critical thinking abilities
  • Ability to collaborate effectively with individuals at all levels of the organization
  • Self-motivated, quick learner, and adept at anticipating needs
  • Demonstrated capability to work independently and manage multiple tasks simultaneously
  • Flexible and adaptable to ever-changing priorities and tasks
  • Maintains composure under pressure
  • Highly collaborative and an overall exceptional team player
 
WORKING CONDITIONS: 
  • Able to sit and work at a computer keyboard for extended periods of time.
  • Able to stoop, kneel, bend at the waist and reach on a daily basis.
  • Able to perform general office administrative activities: copying, filing, delivering and using the telephone.
  • Able to lift and move up to 25 pounds occasionally.
  • Regular and on-time attendance.
  • Must be able to prioritized, schedule and complete testing required for multiple applications with overlapping schedules.
  • A certain degree of creativity and flexibility is required.
  • Hours may exceed 40 hours per week.
  • Occasional travel by conventional means including aircraft, motor vehicle and the like within the region and to other locations as required.
