Executive Assistant
Description
- Provide comprehensive administrative support, including:
- Managing the calendar proficiently
- Skillfully processing invoices, with the ability to discern significant issues or changes from month to month
- Facilitating travel arrangements and handling expense reports
- Undertaking scanning and filing tasks as required
- Scheduling and overseeing meeting logistics, including room reservations, catering, and conference call/video conference coordination
- Deliver exceptional customer service to every member of the firm, recognizing that you are a representative of the CEO
- Independently troubleshoot problems and proactively anticipate needs
- Analyze data at a high level when necessary
- Prepare and update communications, spreadsheets, presentations, and other documentation
- Plan, coordinate, and oversee office events
- Bachelor’s degree or equivalent education and/or experience
- Minimum of 5 years of related experience required
- Exceptionally customer-service oriented
- Outstanding interpersonal and communication skills, both written and verbal
- Demonstrates a high degree of professionalism while maintaining a sense of levity
- Ability to maintain strict confidentiality
- Expertise in MS Office Suite, Outlook, and other applications
- Strong project management skills, including managing timelines and tracking progress
- Proven problem-solving and critical thinking abilities
- Ability to collaborate effectively with individuals at all levels of the organization
- Self-motivated, quick learner, and adept at anticipating needs
- Demonstrated capability to work independently and manage multiple tasks simultaneously
- Flexible and adaptable to ever-changing priorities and tasks
- Maintains composure under pressure
- Highly collaborative and an overall exceptional team player
- Able to sit and work at a computer keyboard for extended periods of time.
- Able to stoop, kneel, bend at the waist and reach on a daily basis.
- Able to perform general office administrative activities: copying, filing, delivering and using the telephone.
- Able to lift and move up to 25 pounds occasionally.
- Regular and on-time attendance.
- Must be able to prioritized, schedule and complete testing required for multiple applications with overlapping schedules.
- A certain degree of creativity and flexibility is required.
- Hours may exceed 40 hours per week.
- Occasional travel by conventional means including aircraft, motor vehicle and the like within the region and to other locations as required.
