Position Summary

 The Purchasing Coordinator on the Sales Operations & Support Team supports procurement, order processing, and vendor coordination activities related to client sales and renewals. This role is responsible for processing and tracking orders, coordinating with vendors and distributors, supporting renewals activities, and maintaining accuracy throughout the purchasing lifecycle.

 

The Purchasing Coordinator partners closely with Sales, Finance, Operations, Renewals, and Service Delivery teams to support operational efficiency, timely fulfillment, and a positive client experience. This role focuses on procurement execution, operational coordination, and administrative support.

 

What will you do in this role?

Purchasing & Procurement Coordination

  • Prepare, submit, and process product and service orders with vendors and distributors
  • Validate order details including SKUs, quantities, pricing, terms, and required documentation prior to submission
  • Track order status through fulfillment and proactively communicate updates, delays, or issues to internal teams and stakeholders
  • Coordinate Return Merchandise Authorizations (RMAs), including submission, tracking, and follow-up activities
  • Build and maintain positive working relationships with vendors, distributors, and internal business partners
  • Assist with vendor communication related to order status, availability, renewals, and issue resolution

Renewals & Order Support

  • Create, update, and maintain customer renewal agreements and supporting documentation
  • Support renewal processing activities, including order placement, tracking, and coordination with internal stakeholders
  • Serve as backup support for renewals coordination functions during absences or high-volume periods
  • Maintain accurate records and documentation related to renewals and purchasing activities

Financial & Administrative Coordination

  • Match purchase orders with vendor and client invoices to support accuracy within the procurement workflow
  • Support administrative tasks related to Accounts Payable and Accounts Receivable processes associated with purchasing activities
  • Assist with resolving discrepancies related to orders, invoicing, or vendor transactions
  • Maintain accurate purchasing records within operational systems and documentation repositories

Operational Support & Process Excellence

  • Monitor shared queues and support timely triage and follow-up of purchasing-related requests
  • Maintain and update purchasing documentation, templates, and standard operating procedures
  • Maintain working knowledge of vendor programs, procurement processes, and operational workflows
  • Identify opportunities for process improvement and workflow optimization to improve efficiency and accuracy
  • Support additional operational and administrative activities aligned to purchasing and sales support functions as needed

 

What do you need to succeed in this role?

  • 2+ years of experience in purchasing, procurement, sales support, operations, or a related field
  • Experience supporting procurement, Accounts Payable, Accounts Receivable, or order processing activities
  • Familiarity with accounting or ERP software
  • Proficiency in Microsoft Office applications, including Excel, Word, and Outlook
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong written and verbal communication skills
  • Strong problem-solving and follow-through abilities
  • Ability to work independently while collaborating effectively across teams
  • Experience with ConnectWise Manage or similar professional services automation platform preferred

In compliance with this state’s pay transparency laws, the midpoint of the salary range for this role is $22/hr. This is not a guarantee of compensation or salary, as final offer amount may vary based on factors including but not limited to experience and geographic location.
