About the office

Student Administration at the University of Notre Dame provides specialist expertise and operational support across student administration and student services, including critical regulatory, policy, and compliance functions, to support academic decision-making within Faculties, Schools, and other University departments.

About the role

The Senior Administration Officer - Graduations delivers high-quality student administration services, focusing on the national coordination and delivery of graduation ceremonies. Supported by the Student Administration Graduation Coordinator and reporting to the Senior Team Leader, Student Administration, the position contributes to accurate and timely student administration and graduation outcomes.

Key Responsibilities

  • Provide high-level administrative support for student administration and graduation activities, including data entry, documentation, tracking, and ensuring compliance with University regulations.
  • Administer student completions (standard and out-of-cycle), graduand reporting, applications to graduate, stakeholder liaison, and updates to relevant IT systems.
  • Support planning and delivery of graduation ceremonies, managing eligibility, documentation, communications, and logistics in collaboration with the Events team.
  • Provide administrative support for academic records and award-related services, including verification, student and alumni enquiries, and preparation of governance documentation.
  • Deliver excellent customer service, applying policies and procedures, maintaining accurate records, and ensuring quality assurance and continuous improvement in all tasks.
  • Contribute effectively as a member of the Student Administration team, undertaking additional duties as directed and complying with University policies and procedures.

Qualifications, skills & experience

  • Completion of a degree, or an equivalent combination of education, training, and/or relevant experience.
  • Demonstrated administrative experience, preferably in tertiary education or a related sector.
  • Ability to work effectively both independently and as part of a team.
  • Strong organisational, planning, and time management skills, enabling the efficient achievement of objectives.
  • Excellent interpersonal and communication skills, both written and verbal.
  • High level of computer literacy, with strong attention to detail and accuracy.
  • Ability to exercise judgment, initiative, and diplomacy, ensuring sensitive or confidential information is handled appropriately.
