What you’ll do

    • Update training spreadsheets. 
    • Develop and maintain customer service relationships with all internal staff and partners. 
    • Code any invoices for the department for VP approval. 
    • Oversee all US rebate division submittals, manufacturer invoicing, and reconciliations with the corporate finance team. 
    • Maintain JDE as requested. 
    • Upload supporting national contract documents. 
    • Investigate patterns affecting costing and build concerns. 
    • Research and respond to inquiries from construction sites, internal staff, trade partners, and any other internal/external departments. 
    • Analyze and provide reports on budget performance and other purchasing-related topics as needed. 
    • Generate budgets. 
    • Plan, coordinate, and monitor daily operations and activities within the assigned area. 
    • Schedule meetings, prepare agendas, and take minutes as needed. 
    • Track progress of projects and tasks, ensuring deadlines are met. 
    • Maintain and update documentation, records, and reports. 
    • Assist in developing and implementing procedures to improve workflow and efficiency. 
    • Support event planning and execution, including logistics and communications. 
    • Address and resolve issues or challenges as they arise. 
    • Provide administrative support, such as data entry, correspondence, and filing. 
    • Perform other related duties as requested. 

     

    What you bring

    • Bachelor’s degree in business administration or a related field preferred 
    • Five or more years of proven experience in a coordination or administrative role 
    • OSHA 10 training  
    • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) 
    • JDE Experience preferred 
    • Understand scheduling and residential plans.

    • Excellent written and verbal communication skills

    • Ability to work both as part of a team and independently. 
    • Strong organizational and time management skills 
    • Ability to multitask and prioritize responsibilities in a fast-paced environment. 
    • Ability to deal with shifting priorities and change. 
    • Strong data management/analysis and critical thinking skills  
    • Consistent attention to detail and accuracy is required.  
    • Takes initiative, is resourceful and self-disciplined 

    Physical Requirements

    • This job operates on-site in a professional office environment with standard 8-hour workdays. 
    • Occasional overtime or evening/weekend work may be required to meet project deadlines or to help support special events or training. 
    • Must be able to lift and carry up to 20 lbs.
    • This role routinely involves standard office equipment such as computers, phones, photocopiers, and filing cabinets. 
    • Must be able to remain in a stationary position at least 50% of the time. 
    • This is a sedentary role; however, some filing is required which would require the ability to move files, and bend, or stand, as necessary. 
    • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state, and local standards.
    • Some domestic travel with advance notice may be required.
