Kitsap Mental Health Services (KMHS) offers Transcranial Magnetic Stimulation (TMS) as a treatment for depression and other neuropsychiatric conditions. The TMS coordinator will apply the depth of their knowledge and training to the operation of the TMS therapy practice, with a special emphasis on client engagement, data management, tracking of clinic performance indicators, compliance with all standard operating procedures, emergency management, scheduling, and follow-up. The TMS coordinator serves as an ambassador for KMHS due to the extensive one-on-one nature of TMS treatment and must espouse the values and mission of KMHS.
Primary Responsibilities:
- Contact and communicate regularly with clients of the Neil S. Hirsch TMS Center and the clinical teams to which they are assigned.
- Work closely with the Foundation for the Advancement of Clinical TMS (FACTMS) to ensure grant compliance and excellence in all areas of TMS care.
- Obtain TMS training by KMHS and adhere to the Neil S. Hirsch TMS Center operation guidelines. Previous TMS training protocols from other agencies will not supersede KMHS rules and regulations.
- Record, track, and manage client referrals, outcomes, transportation needs, and treatment data for compliance and reporting purposes. Manage the (Key Performance Indicators (KPI) worksheet at all times.
- Create meaningful and graphically designed reports of quality sufficient for external usage.
- If requested, assist with education for the KMHS outpatient teams.
- Complete Prior Authorization processes, provide detailed and thorough documentation in the EMR about the correspondence and results, and communicate with insurance providers in coordination with the Utilization Management team.
- Maintain a rigorous and detailed schedule, coordinating machine availability with client need, technician time, physician time and physician coverage.
- Greet and converse positively with clients for extended periods, maintaining professional boundaries and ensuring their comfort and positive experience during a potentially stressful medical intervention.
- Screen client information to determine initial qualification for TMS treatment, based on KMHS protocols. Gather detailed information about past medical history and medication use as appropriate.
- Answer all client questions with sound, evidence-based responses (within appropriate scope of practice) or notify a medical provider to assist with providing education and reassurance in a timely manner.
- Utilize an electronic medical record for documentation and record keeping, and complete and sign all notes before the end of shift.
- Assist the TMS Technician with providing therapy, including maintaining proficiency of technique, parameter adherence, attention to detail, client engagement and emergency management. The TMS Technician and Coordinator will cross-train and step in for one another during times of absence to maintain the integrity of TMS operations.

Minimum Qualifications:
EDUCATION: High School Diploma or GED
EXPERIENCE: Experienced (minimum two years of job-related experience)
Achievement and Maintenance of Basic Life Support Certification (will be provided)
Preferred Qualifications:
EDUCATION: Associate’s degree (in business, accounting, or related field)
EXPERIENCE: Intermediate (minimum three years of job-related experience)
Two years of academic study or medical experience in a procedural-based discipline (examples include Medical Assistant, EMT, Ultrasound, Radiology, etc.)
