ROLE FUNCTION
The Operations Manager will support the organization’s transformation to a locally led, globally-connected network by coordinating communications and strategy between US revenue and partnerships, global business development teams, and the Strategy and Transformation node. S/he will work closely with the Revenue and Partnership Cultivation Network Architect at Heifer International to streamline processes, develop procedures, and oversee projects that support Heifer’s evolving business model. This position plays a crucial role in ensuring continued and effective collaboration between regions and departments as the organization transforms into a networked, interdependent structure.

RESPONSIBILITIES & DELIVERABLES
Strategic Communications Support (45%)
- Streamline and enhance internal communications systems and norms to support real-time and asynchronous collaboration across teams, functions, programs, and geographies
- Liaise with the Transformation Architect and team to ensure alignment on brand positioning, messaging, audience segmentation, and channel strategy.
- Manage and coordinate across the organization with various communications, employee engagements, and internal/external appearances.
- Develop strategies for improved cross-functional education, including teach-ins, learning labs, AMAs, and job-sharing, that will drive org-wide understanding and efficiency
- Ensure timely and clear flow of information related to revenue strategy, program strategy, and transformation progress to US-based and global teams. Develop and manage internal content for various internal platforms like the Corral. Draft, revise, and collaborate on blogs for announcements, events, and updates.
- Liaise with other departments to coordinate initiatives, reports, and deliverables, and interviews when necessary.
Strategy and Special Projects (30%)
- Coordinate operations and processes for Revenue and Partnership-related projects & deliverables; including follow-up on staff assignments; coordination of deadlines and priorities on daily or special projects, flow of correspondence, and other administrative services.
- Work closely with Heifer International Foundation leadership and staff to maintain close communications, support with special projects, and ensure ongoing integration of donor cultivation and stewardship teams
- Use analytical tools to develop and support decision-making around revenue strategies, systems investments,
- Support the Revenue and Partnerships Network Architect in stewarding a global community of practice among business development, access to finance, and country leadership teams that will build org-wide resource mobilization capacity
- Provide project management for key strategic projects and priorities, e.g., key vendor analysis, CRM migration, etc. Within the established guidelines, develop, manage, and track financial data. Ensure the timely payment of invoices, credit card statements, and/or other accounts payable.
Executive Support & Operations (25%)
- Provide strategic communication support to the Revenue and Partnerships Network team, including content and presentations for internal and external use. Maintain, manage, and support team use of key systems, especially internal communications, knowledge management, partnership development, content development, budgeting, and procurement. Support meeting preparation, including drafting agendas, compiling background materials, and compiling relevant information.
- Manage and monitor the department’s annual operating expense budget; ensure the timely payment of office invoices, credit card statements, and/or other accounts payable.
- Assist with budget tracking, procurement requests, and vendor coordination as needed from the Revenue and Partnership Cultivation Network Architect.
- Provide periodic travel and scheduling support for the Revenue and Partnerships Cultivation Network Architect.
Minimum Requirements:
- Bachelor's degree required plus 8 years’ experience in an operations role, preferably with 4 years supporting an Executive or V.P, or, 9-10 years of general experience without a degree
- Minimum 3-4 years of project management experience
- Strong communication (writing, oral, impersonation) skills in the English language
- Ability to create reports, presentations, and board reports in collaboration with stakeholders
- Comfortable with change and working with evolving department and organization
- Self-motivated, agile, and detail-oriented professional with exceptional organizational, interpersonal and conflict resolution skills
Preferred Requirements:
- Comfortable with technology platforms for collaboration, project management, etc. (Jira, Slack, Zoom, Asana, Microsoft Office Suite, etc.)
- Familiarity with nonprofit fundraising, digital marketing, and/or international development
- Fluency in languages other than English

- A global perspective; the ability to understand issues in an international context
- Proven ability to build deep and lasting relationships with a variety of internal partners with whom no direct line of supervision exists and collaborate effectively with global teams
- Excellent interpersonal skills with the ability to work cooperatively, tactfully and diplomatically with a culturally diverse group of people, especially in a fast-paced environment.
- Detail-oriented with excellent project management/organizational skills
- Extensive experience using computers as a tool for word processing, communications, including virtual meetings, and organizing.
- Strong oral and written skills, with the ability to communicate information to all staff levels professionally.
- Alignment to Heifer’s mission and global reach.
Essential Job Functions and Physical Demands:
- Ability to handle multiple tasks and deadlines, establish priorities and make sound judgments often in a fast-paced environment, and the flexibility, energy, and attention to detail needed to manage a heavy workload and rapidly changing contexts.
- Proofread correspondence for correct punctuation and grammar and produce documents in a well-designed, attractive format.
- May require constant sitting and moving; working at a computer for extended periods.
- Occasional bending and lifting/carrying of up to 20 pounds (9 kilograms).
- Ability to work with sensitive information and maintain confidentiality.
Salary Information:
The salary range for this position is $90,000 to $105,000 annually. Placement within the range will be based on the experience and competency level of the candidate.
