FUNCTION:
To serve as an associate People officer of the HPI Nepal Program, following HPI objectives, policies, and procedures. Collaborate with other teams for consistency. S/he will assist with day-to-day HR operations, including recruitment, onboarding, employee relations, record management and compliance, to support the HPI Nepal Program in managing HR operations. This role is to ensure the smooth and efficient functioning of HR processes and provide excellent service to employees across Heifer Nepal.
RESPONSIBILITIES AND DELIVERABLES:  
 
Recruitment & Staffing: (30%)
  • Assist with recruitment processes including job postings, screening resumes, scheduling interviews, and coordinating communication with candidates.
  • Support onboarding and offboarding activities such as new hire orientation, paperwork processing, and exit interviews.
 Software Management & Record Keeping: (30%)
  • Maintain and update employee records and HR databases, ensuring data accuracy and confidentiality.
  • Support for the report on the Timesheet of Country Staff every month
  • Keep records of Travel Authorizations and staff mobility for international travel.
  • Manage/update systems for staff leave (RIGO) and travel. Ensure timeliness and accuracy, and provide leave data for payroll processing; provide information to respective supervisors and management as needed.
  • Maintain accurate and confidential records of employee information. This may include staff plans, attendance records, holidays, sickness and other absences, training records, insurance, taxes, and other benefits.
  • Maintain the HR correspondence, including employee contact information, personnel files, and other employee information
 Employee Relations & Engagement: (20%)
  • Support in employee performance management, including ensuring timeliness and correctness of annual employee performance evaluations
  • Assist the Country People Manager with general HR matters and respond to employee inquiries regarding HR policies, benefits, and procedures
  • Ensure compliance with labor laws and internal policies 
  • Assist staff in obtaining visas and required documents for international travel.
  • Provide clerical services including typing, proofreading, and editing documents, document translation, photocopying, scanning, printing, etc.
  • Provide other services as instructed by the Country People Manager.
 Training & Development: (15%)
  • Coordinate training sessions and workshops for employees, ensuring all training logistics are handled effectively.
  • Maintain records of employee training and development activities.
  • Assist in identifying skill gaps and development needs through feedback and assessments.
 Perform other related job functions as assigned (5%)
QUALIFICATIONS AND SKILLS:
  • Bachelor's degree from a recognized university in Business Administration, Human Resource, or a related field plus a minimum of two (2) years’ experience in a similar context is required.
  • Basic Knowledge of Labor Laws and HR best practices.

 ESSENTIAL COMPETENCIES: 

  • Self-reliance and the capability to autonomously manage various tasks and meet set deadlines
  • Ability to prepare and present documents in a well-designed and attractive format with superior attention to detail
  • Competence in handling sensitive information and ensuring its confidentiality
  • Experience in a fast-paced or multinational environment
  • Proficiency with the Microsoft Office package, internet browsing, and other relevant technologies.
  • Excellent communication and interpersonal skills.
  • Willingness to work with a flexible schedule
  • Able to effectively promote Heifer’s mission, values, and objectives
