This is an exciting opportunity to join a fast-growing IT department where Financial Management practices are implemented to IT operations. Edifecs is looking for an IT Financial Ops Coordinator to join our dynamic IT team and support our budgeting, procurement, and project coordination functions.
What you will do:
As an IT Financial Ops Coordinator, you will play a vital role in supporting the IT department with budgeting, procurement, and project management tasks. You will:
- Be responsible for tracking the company's software and related spend in a formal system
- Ensure compliance with contracts, SLAs and licenses and optimizing costs.
- Conduct daily procurement and administrative duties, such as processing purchase orders, invoices, and vendor requests.
- Negotiate with software vendors and suppliers to obtain the best prices and terms for the IT department.
- Work with vendors on priority, for critical procurements and service outages, as needed
- Meet with critical vendors and review SLA adherence as per contractual commitments with Edifecs
- Work and handle coordination with Legal team for NDA, BAA, Contract signing, Quote signing, etc.
- Develop and implement ideas for supply chain management and licensing cost optimization
- Update and maintain vendor lists, procurement trackers, and project lists
- Coordinate Security and Compliance requirements with vendor ensuring adherence to process and trackers
- Evaluate and assess products and vendors based on requirements, and share findings based on company’s procurement policy
- Plan, implement, and track inventory of hard and soft assets as purchased following lifecycle policies
- Provide detailed spend plan for yearly maintenance contracts for annual budgeting activity
- Work closely with Accounting team to conduct monthly reconciliations
- Collaborate with Finance team to manage and track budgets
- Monitor and report on the IT budget, including actuals, forecasts, and variances.
- Analyze the IT spending trends and identify opportunities for cost savings and efficiency improvements
- Assist in some project management activities, such as creating project plans, schedules, and reports, coordinating resources, and communicating with stakeholders
- Facilitate project meetings, workshops, and presentations.
What you will bring:
- A bachelor's degree in computer science, information systems, finance, business administration, or related field.
- At least two years of experience in IT budgeting, procurement, or project management.
- Strong knowledge of software licensing models, contracts, and vendors.
- Proficiency in Microsoft Excel, Word, PowerPoint, and Project.
- Excellent organizational, and analytical skills.
- Positive attitude and strong communication skills, written and verbal, for working with vendors, customers, IT team and Executives
- Ability to work independently and collaboratively in a fast-paced environment.
- Attention to detail and accuracy.
- Ability to multitask and manage multiple deadlines
