Job Responsibilities    

  • Completes detailed analysis to gain thorough understanding of the regional spend including historical purchasing trends, supplier performance, terms, rebates, and other programs in place.
  • Conducts detailed analysis of inventory transactions to identify trends and proactively manage planning & buying, including working across business to optimize inventory and increase order fulfillment for the spend under management. Supports rebate attainment actions.
  • Creates a strategy to align planner / buyer activities to product categories in alignment and in coordination with Corporate Strategy, including consolidation of planning and buyer activities between both Regions where it makes sense.
  • Ensures daily execution of purchase orders in support of system and customer demand with speed and accuracy.
  • Oversees the supplier returns processes as required (example – dead or excessive stock, errors).
  • Re-sources problem suppliers as necessary.
  • Ensures team participates in resolving all receiving discrepancies in a timely manner.
  • Transitions the team from manual planning to GAINS demand planning system.
  • Reviews purchase order claims and contracts for compliance to company needs. Ensures Delegation of authority on spend limits, purchasing card, and contract signatory as followed.
  • Ensures all opportunities to ‘buy best’ are in place and being used by the team (free freight, discounts, terms, off sheet pricing, and additional local rebates).
  • Develops processes to ensure that business stakeholders are utilizing preferred suppliers and products wherever possible thereby leveraging the company’s scale to drive greater value for the company. Ensures team offers substitutions in the event of stock availability challenges.
  • Ensures team has the highest level of responsiveness, and addresses vendor issues and expedites in a timely manner to ensure highest level of service delivery.
  • Responsible to achieve all corporate goals on cost savings, working capital and terms improvement, inventory turns, order fill rate, dead stock \ slow moving and service level targets are met.
  • Maintains strong working relationships with key stakeholders including branch managers and inside sales team. Ensures accurate perception of the team and performance are understood with corrective actions in place for any weak points.
  • Maintains local supplier relationships always looking to leverage Colony’s position.
  • Supports Category Manager in implementation of purchasing and sourcing strategies and implementation of supplier requirements and policies.
  • Works with Category Managers and the Marketing Team to ensure our product offering represents the most current models from our core manufacturers.
  • Collaborates with key stakeholders to develop and implement strategies in the region to drive growth and EBITA improvement through supplier consolidation and spend leverage, enhanced program value, resourcing activities. All activities should be carefully aligned and coordinated with Category Managers.
  • Maximizes supplier promotional opportunities and implements sales agreements in coordination with Category Managers.
  • Performs personnel functions such as selection, training, and evaluation including conducting interviews, making hiring decisions, participating in onboarding activities, coaching and development.
  • Completes team assessment and developmental path. Ensures metrics are in place to measure performance (stock outs, purchase order status and processing, cost savings, etc.).
  • Conducts timely performance evaluations by monitoring performance and initiating action to strengthen results with goal setting.
  • Supports acquisition integration as needed.
  • Assists in special projects as required.
  • Other duties as assigned.

Qualifications    

  • BS Level Degree in related discipline/equivalent experience.
  • Minimum of 6 years of purchasing experience, preferably in a contract distribution environment.
  • Minimum of 5 years managing a purchasing team of more than three employees.
    • Skills | Technology – strong proficiency in the following areas:
      • Analytic tools (Power BI or similar)
      • ERP Solutions (Netsuite and Profit 21)
      • Outlook
    • Microsoft Office (Word, Excel (advanced skills including pivot tables), PowerPoint (advanced skills), etc.)  
  • Abilities:
  • Work independently, prioritize work and perform multiple tasks. Effective project management skills required to keep strategy and project execution on track.
  • Analytical ability beyond basic math skills. Data driven mindset and ability to analyze spend and inventory data to help with strategy development.
  • Strong leadership and supervisory skills, with the ability to support and mentor staff of 5 or more employees.
  • Effective collaborator who will partner with internal and external key stakeholders to develop, sell, and influence strategic direction.
  • Demonstrated ability to develop and drive strategies in planning and buying functions.
  • Results oriented and data driven. Demonstrated use of metrics to monitor and drive to goals.
  • Excellent time management, negotiation, critical thinking, decision making, and organization skills.
  • Excellent communication skills including speaking in public, presenting to varying levels of the organization, including the executive staff.
  • Experience in handling difficult customer service situations and managing conflict.
  • Outstanding customer services skills and mindset when dealing with internal and external customers.
  • Able to influence managers on product choices, lead and motivate other employees.
  • Build successful working relationships with internal and external stakeholders.

Working Conditions  

This position is a full-time, Monday through Friday, 8:00 AM to 5:00 PM* position. Excellent attendance, punctuality, and working a flexible schedule, including weekends, is required. Must be willing to travel (by car or air) to other branches and locations and dedicate after hours for modules, seminars, customer/company events, supplier visits, and training sessions as needed.
