Position Overview:

Change Management and Training Analyst (HCM and AP) will play a key role in ensuring the successful adoption of new enterprise systems, such as SAP SuccessFactors as the City’s new human capital management system and SAP Concur Invoice for accounts payable automation and processing. This exciting and strategic role will collaborate with a diverse, cross-functional team to develop and implement change management, communication and training strategies that are responsive, user-centric and aligned with best practices. This role will empower users by building buy-in, knowledge, understanding and expertise in their use of systems to efficiently meet their business needs.

Responsibilities:

Communications and Change Management 

  • Lead internal change management and communications strategy, planning and content development and delivery for ERP implementation projects, including SAP SuccessFactors and SAP Concur Invoice. 
  • Collaborate with Project Managers, HR, Finance, business partners, subject matter experts and end users to identify benefits and potential business impacts of the project. 
  • Employ industry standard methods to evaluate and monitor change readiness and the effectiveness of communication and change management strategies over time. 
  • Develop and execute on strategies to build buy-in, awareness and understanding of changes, impacts and required actions for specific audiences and user groups. 
  • Work collaboratively with project teams and leaders to develop key messages and materials. 
  • Participate in project workshops and meetings to understand project scope, risks and impacts. 
  • Facilitate change management workshops to ensure understanding of user needs, concerns and knowledge gaps. 
  • Offer creative insights, identify opportunities for improvement, and collaborate on strategies to ensure successful adoption and use of best practices within our project implementations. 
  • Proactively engage with users through the change management process to understand concerns and readiness, iterating on strategies as required. 

 

Training strategy and program management 

  • Consult with business process owners, users and project team members to understand training gaps and needs and develop sustainable and scalable framework for program/curricula creation, implementation, evaluation, and ongoing support. 
  • Be embedded in the implementation project to ensure understanding of evolving business processes and impacts, address shifts in training needs and approaches, and anticipate the requirement of additional training programs or resources. 
  • Understand different user audiences, learning styles and the knowledge required to perform their roles. 
  • Decrease time to productivity for new users, and improve the learner experience by developing a user onboarding program and resources across the ERP suite of applications in collaboration with ERP Support Analysts. 
  • Use metrics and analytics to evaluate program effectiveness using key performance metrics of learners. 
  • Create and maintains templates and tools. 
  • Manage the development of training and knowledge transfer materials for new and existing employees on process and system functions and procedures. 
  • Facilitate review of training materials with process owners and subject matter experts to ensure consistency and completeness. 
  • Coordinate training delivery with team members and user groups and facilitate training workshops as required. 

 

Other 

  • Ability to travel between work locations as needed. 
  • Performs other related duties as assigned.

 

Requirements:

  • 3-year degree/diploma in a related field (e.g. Business, Communications, Adult Education or related field).
  • 4-7 years of relevant experience in communications, change management or training program management. 
  • Knowledge of Human Resources business processes and SAP SuccessFactors is an asset. 
  • Knowledge of accounts payable business processes and SAP Concur Invoice is an asset. 
  • Experience working with and communicating business processes and functionality related to complex ERP systems. 
  • Experience facilitating discussions and applying tools and techniques to effectively elicit user needs. 
  • Experience designing, developing, and delivering impactful learning experiences across multiple modalities that build essential capabilities for diverse user groups. 
  • Knowledge of adult learning principles, best practices, and learning technologies. 
  • Knowledge of change management principles and practices, certification in Prosci or other recognized change management program is an asset. 
  • Demonstrated experience with technical writing and creating/maintaining technical and user documentation. 
  • Proven ability to collaborate creatively and analytically in a problem-solving environment. 
  • Aptitude and enthusiasm for learning new technologies and business processes. 
  • Strong time management, organizational skills and ability to prioritize and respond to multiple concurrent requests in a timely manner and meeting service levels. 
  • Ability to work independently with limited supervision, as well as ability to participate with a high degree of professionalism as an effective team member with internal and external stakeholders. 
  • Excellent verbal and written communication skills and a proven ability to communicate effectively with different user and technical teams.
