We are seeking a highly organized and resourceful Executive Assistant to provide high-level support in a dynamic and fast-paced environment. This role requires exceptional technical proficiency in Microsoft Office 365, outstanding organizational abilities, and a passion for problem-solving. The ideal candidate must have the ability to interact with staff at all levels, is a proactive professional who thrives on helping others, excels at managing complex tasks with patience and precision, and can seamlessly navigate evolving priorities.
As the Executive Assistant to our Chief Marketing Officer (CMO) and Chief Customer Officer (CCO), you will play a critical role to the leader’s and team’s overall success by ensuring seamless executive operations, enhancing efficiency, and enabling leadership to focus on high-level strategic initiatives.
What you’ll be working on
- Provide comprehensive administrative support, including managing schedules, appointments, and travel arrangements.
- Maintain and organize the calendar to ensure optimal time management for daily, weekly, and quarterly priorities.
- Prepare and proofread documents, reports, and presentations with an advanced level of accuracy..
- Coordinate office management tasks to ensure a well-functioning work environment.
- Assist with planning and executing company events, as well as supporting department programs.
- Support executives in developing timelines for critical meetings, ensuring meeting agendas are prepared, taking notes as needed, and following up with the team on action items.
- Provide support for the Campbell office by booking meeting rooms, ordering lunch, greeting and escorting guests, and assisting with onsite events.
What you bring to the role
- Bachelor’s degree or equivalent work experience
- 5+ years of proven experience as an Executive Assistant or in similar confidential roles
- Able to work onsite at the Campbell office when executive leadership is in the office and when there are events
- Proficient in scheduling travel arrangements for management
- Advanced technical skills in Microsoft Office 365, including Word, Excel, PowerPoint, and Outlook
- High level of diplomacy and integrity
- Strong problem-solving abilities and a proactive mindset
- Excellent organizational and multitasking skills
- Exceptional proofreading and editing capabilities
- Keen attention to detail and risk awareness
- Expertise in secure communication and document handling

The anticipated on-target earnings range for this role is $108,950 to $125,008. Actual compensation offered will be dependent upon the individual's skills, experience, and qualifications as they directly relate to the requirements of the position, the budget for the position, and applicable employment laws.
