Position Summary:
Reporting to the Senior Finance and Accounting Manager, the Accounting Associate position involves many activities in the accounting process. Each associate may be assigned different activities listed below and the assignments may vary over time, depending on workload and business requirements.
Responsibilities:
- Billing: Process construction billing and AiA documents with accuracy and timeliness.
- Seek proper approval from operations staff that bill is ready for client acceptance prior to invoice printing
- Mail, Email, or Upload invoices to client portals
- Issue client credits as required/directed and open AR statements
- AR Receipts & Collections: Process AR for the Mechanicsburg PA office as required and directed, including but not limited:
- Assist with posting of payments and client deposits
- Process credit card payments
- Follow up call/email and collection efforts on outstanding AR according to established guidelines
- Correspond with customers and respond to inquiries
- Accounts Payable: Process AP transactions for the Mechanicsburg, PA office as required and directed, including but not limited:
- Sort, code, and match invoices
- Enter and upload invoices into system
- Reconcile accounts payable transactions
- Monitor accounts and reconcile to vendor statements
- Research and resolve invoice discrepancies and issues
- Correspond with vendors and respond to inquiries
- Execute vendor and subcontractor paperwork requirements, such as credit applications.
- Prepare monthly credit card reconciliation and posting
- Closing: Participate in ensuring month-end close procedures are complete, included but not limited to:
- Ensuring the Senior Finance and Accounting Manager has all information necessary to execute monthly revenue and cost recognition.
- Ensuring all data listed above is reconciled for month end with proper dates of transactions and accurate information
- Ad Hoc assignments: Perform accounting related assignments for the Mechanicsburg office as directed by Senior Finance and Accounting Manager
Qualifications & Experience:
- 1 to 2 years’ experience in bookkeeping, administration, accounting, financial, or analytical fields
- Union experience is a plus
- Prior Construction accounting experience is helpful
- Must possess strong analytical, communication, multi-tasking, presentation and teamwork skills.
- Must have very good system skills, including accounting systems, Microsoft Office products, and business intelligence tools
- Excellent interpersonal skills and the ability to successfully manage relationships with clients, company executives, and co-workers
- Skilled at establishing and working collaboratively in a fast paced, dynamic team environment with multiple and priorities and meet deadlines
