Position Summary:
Under the direction of the Office Manager, the Billing Coordinator will be supporting office staff and performing administrative tasks and other duties assigned by the manager.
 
Responsibilities:
  • PAYROLL-BACK UP
    • Hourly and Union Employees
  • Enter ALL A/P for SERVICE & CONSTRUCTION
    • A/P records should be consolidated moving forward & maintained by this position
    • Reconcile ALL statements
    • Provide a comprehensive Aging A/R for construction meetings for payment
    • Not sure how service invoices get approved
  • MANAGE THE SERVICE WIP         
    • Oversee the research being done by Dispatcher Position
    • Escalate when necessary
  • SERVICE A/R BILLING
    • Create accurate and detailed billing daily
    • Correct/Credit anything incorrect
    • Do we send statements for past due-Maintain this with Collections (internal)
    • Follow up with past due invoices
  • COMPLETE MONTH END TASKS
    • Generate Preventative Maintenance Tasks
    • Generate Preventative Maintenance Billing
  • AUDIT CONTRACTS
    • Make sure information is correct and surveys are up to date
  • RECONCILE LOCAL CREDIT CARDS
    • BMO
    • HOME DEPOT
  • AD HOC TASKS
 Qualifications:
  • 5 yrs experience in accounting field
  • Expert Accounting skills along with Microsoft Office skills with PDF knowledge
  • Accounts Receivable/Accounts Payable
  • Prior Construction Accounting experience is helpful
  • Union experience is a plus
  • Excellent communication skills – both verbal & written
  • Communicate professionally through email
  • Telephone adequate; must be comfortable using the phone to answer and or make calls
  • Filing; online and paper format
  • Positive Attitude
  • Team Player
  • Able to move up to 25lbs
  • Able to climb stairs
  • Well Organized
