Job Summary
The Senior Project Manager will oversee a team of estimators, project coordinators and technicians responsible for building projects of varying size and complexity, with a primary responsibility to oversee the estimating, securing, executing and ultimately the completion of projects.
This role will participate in safety, forecasting, budgeting, project planning, scheduling, organizing, obtaining manpower and controlling delivery activities, and ongoing governance and reporting activities.
Responsibilities
- Reviews and approves all project quotations
- Provides input on estimating allowances, exclusions, and inclusions
- Review and oversee all projects management by the project coordinators and estimators, managing the more complex projects directly
- Review all new projects to ensure they are properly set-up and executed
- Oversees the production of all project data for projects as required
- Oversee the creation and maintenance of project schedules as required
- Ensure all safety documentation is complete prior to starting any project
- Oversee the purchasing of materials is done in the most efficient manner
- Review and purchase (rent) necessary tools, submitting capital cost expenditures requests as required
- Provides input on preparing project proposals, RFP’s, budgets, cash flows, preliminary schedules, and presentations
- Oversees the collection and organization of all documentation related to the projects
- Uses control tools to monitor projects plans, work hours, budgets and expenditures
- Tracks the progress and quality of work being performed by design disciplines and trades
- Reviews field inspection reports from Consultants throughout the lifecycle of the project, and flags important issues (e.g., late deliverables, budget status, missing status reporting, etc.)
- Oversees the tracking and management of RFI’s, contemplated change notices and change orders
- Monitors and reports on issues and risks associated with the targets and milestones of the project, and suggests and manages risk mitigation actions
- Meet with consultants and building officials as required.
- Attend project meetings as required
- Ensure monthly progress draws are prepared and sent out
- Prepare monthly reports on expected costs at completion (ECAC) reports for projects managed directly, review other ECAC reports as well
- Ensures compliance with Finance and Project administration team(s) and ensure compliance with procurement policies and procedures
- Oversees the preparation of substantial completion certificates and ensures all required project close out documents are obtained
- Assists other managers with the scheduling of meetings, workshops, and other activities both internal and external to the business unit
- Approve suppliers and sub contractor’s invoices along with technician’s time sheets
- Hire unionized technicians to carry out the work
- Oversee the safety training of the technical staff as well as the office staff
- Provide input for annual budgeting of sales
- Undertake annual personnel reviews
- Coordinate annually inventory counts of the technical staff’s trucks
- Work with fleet for vehicle requirements
- Monitor attendance and holidays for reporting staff
- Provide financial forecasts as required
- Perform all job functions in a safe and healthful manner, abiding by and in accordance with all applicable Health, Safety and Environmental company policies and government legislation/regulations
- Adhere to the Company’s Quality System, Quality Control Manual and all operating procedures and processes.
- Perform other duties as assigned by Management
Requirements
- 10 years’ experience in HVAC/R and mechanical projects management
- Trade certification, PMP designation or Eng required
- Effective customer service as well as verbal and written communication skills.
- Proficiency with MS Office applications – Excel, and accounting systems - JDE
- Understanding of building permits, electrical, gas and refrigerant permits requirements
- Understanding of Technical Safety BC requirements
- Understanding of WIP accounting systems
- Understand progress billing and holdbacks
- Understanding the scope of work of the various sub trades
- Understanding of all type of building mechanical systems
- Demonstrated coordination, organizational, interpersonal, and time management skills.
- Ability to multi-task, work within a fast paced environment, and prioritize conflicting demands.
- Demonstrated ability to mentor and motivate estimators, project coordinators, field technical employees and subcontractors.
