JOB SCOPE:
The Insurance Compliance Coordinator is responsible for ensuring customer insurance documentation complies with company standards, contractual requirements, and established risk management guidelines. This position serves as the primary liaison between branch operations, the Credit Department, and Legal regarding insurance compliance matters. The role provides guidance, oversight, and training to branch personnel while maintaining accurate documentation, supporting audit activities, and driving continuous improvement in insurance compliance processes. The ideal candidate is highly organized, detail-oriented, analytical, and capable of communicating effectively across multiple departments while balancing customer service with compliance and risk management.
KEY RESPONSIBILITIES:
Insurance Compliance Administration
- Review customer certificates of insurance (COIs) for accuracy, completeness, and compliance with company insurance requirements.
- Identify deficiencies, discrepancies, or non-compliant insurance documentation and communicate required corrections.
- Partner with branch personnel to obtain corrected insurance certificates in a timely manner.
- Monitor outstanding insurance compliance issues and ensure timely resolution.
- Maintain accurate records of insurance documentation and compliance status.
Risk Management & Compliance
- Collaborate with the Vice President – Operations and Vice President – General Counsel to evaluate, implement, and communicate changes to company insurance requirements.
- Assist with the development, maintenance, and continuous improvement of insurance compliance policies and procedures.
- Conduct insurance compliance audits assigned to verify adherence to company standards.
- Identify trends, recurring issues, and opportunities to improve compliance processes while reducing company risk.
Credit & Exception Management
- Partner with the Credit Department and branch personnel to ensure all credit-approved insurance exceptions are properly documented within Microsoft Dynamics GP (GP).
- Oversee the JIRA workflow for insurance-related exception requests, ensuring requests are complete, properly approved, and tracked through resolution.
- Maintain documentation supporting insurance exceptions and approvals in accordance with company policies.
- Develop and administer document retention procedures for insurance exception records.
Training & Support
- Serve as the subject matter expert on insurance compliance requirements.
- Provide coaching, guidance, and education to branch personnel regarding insurance documentation requirements and compliance expectations.
- Assist in developing training materials, job aids, and reference documentation to improve branch knowledge and consistency.
- Respond to insurance compliance questions from branch personnel and internal stakeholders.
Reporting & Process Improvement
- Prepare reports related to insurance compliance metrics, exception activity, audit findings, and process performance.
- Recommend process improvements that enhance efficiency, reduce risk, and strengthen operational compliance.
- Participate in special projects and other duties as assigned.

EDUCATION & EXPERIENCE:
- Associate’s degree in business administration, risk Management, finance, insurance, or a related field preferred. A combination of education and relevant experience may be considered
- 3-5 years of experience in insurance administration, compliance, risk management, commercial insurance, credit administration, or a related field.
- Experience reviewing commercial certificates of insurance preferred.
- Experience working with operational teams and cross-functional departments.
- Experience with workflow management systems (such as JIRA) preferred.
- Proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Word.
- Experience with Microsoft Dynamics GP or similar ERP systems is preferred.
