TITLE: Administrative Coordinator (Float)
POSITION: Full-Time/ In-Person 
LOCATION: Portland, Beaverton, Milwaukie and Gresham
SALARY: $22.71/hr. - $24.16/hr. (Bilingual Spanish - $24.75/hr. - $26.33/hr.)

Position Summary:

The Administrative Coordinator supports daily operations and administrative functions/staff  in the Outpatient clinics. The position provides leadership , training, and assistance within assigned clinic and provides additional support in the absence of the Business Manager. The coordinator collaborates with clinic and division leadership to develop and implement consistent practices and operations.   

Duties and Responsibilities:

  • Models safe language and demonstrates appropriate boundaries with peers and clients. Intervenes and provides support when staff, clients or families are unsafe with language or behaviors. 
  • Manages emotions and feelings in an appropriate and professional manner. Asks for help when needed.
  • Values and respects the ideas of the team. Teaches and models skills related to responsibility and accountability. Is accountable for all aspects of his/her job and practices good judgment. Appropriately and effectively responds to challenging incidents; use of red flag meetings, incident debriefing etc.
  • Is present and punctual for work and/or meetings. Works well within a team environment, sharing credit and opportunities. Assists in managing the balance of work load for team members.
  • Shares decision making whenever possible. Uses a collaborative approach to problem solving.
  • Presents ideas effectively and clearly conveys thoughts. Values shared ideas and is open/receptive to feedback. Shares necessary and important information with supervisor/supervisees. Listens to others and communicates in a healthy, effective and respectful way.
  • Motivates others and maintains a positive outlook. Anticipates needs and helps develop future plans by proactive goal setting.
  • Coordinates with the Business Managers to ensure that the clinics have the appropriate administrative staffing, providing coverage as needed. Assists in coordinating workloads, schedules and priorities for clinics.
  • Assists with outpatient projects. Monitors and proactively manages medical billing claims, insurance authorizations, and benefit assignments, coordinating between the medical billing department and clinical staff as needed.
  • Manages time well by maintaining an accurate schedule, prioritizing tasks, and remaining organized.   
  • Demonstrates flexibility and autonomy in tasks and schedules.
  • Provides support, leadership and training of clinic and outpatient administrative teams where necessary or requested. May also provide supervision of assigned employees in the absence of the Business Manager.
  • The Administrative Coordinator is required to provide support and coverage for office operations across multiple locations, including Portland, Beaverton, Milwaukie and Gresham.

Experience/Education Requirements:

  •  A high school diploma or equivalent is required
  •  1 year of experience in a leadership role
  •  2 years of related experience
  •  Intermediate (advanced preferred) proficiency related to data bases, web-based environments, word processing, email, and spreadsheets.

Preferred Experience:

  • Experience coordinating with CCOs, medical billing, and conducting authorizations
  • Previous use of electronic health record systems

Physical demands and work environments:

Physical demands: 
While performing the duties of this job, the employee frequently is required to sit, use hands and fingers, reach with arms; talk and hear. Occasionally this position requires walking, stooping, bending and lifting up to 30 pounds without assistance.
 
Work environment:
While performing the duties of this job, the employee is exposed to a noise level of large groups of people and frequent interruptions. Due to the nature of this position there is frequent exposure to upset, angry, and/or severely traumatized, emotionally and/or behaviorally challenged children, adolescents and families. Possible exposure to communicable diseases which can encompass a variety of illnesses and infections, including tuberculosis, Hepatitis A, B, and C, infectious meningitis, and 
HIV.
