The Materials IS Coordinator is responsible for developing functional application specifications and systems design criteria.  Communicates effectively with users and IT staff to coordinate and manage projects relating to the hospital computer programs used at the hospital.  Design forms, customer reports and leads the testing of upgrades and enhancements to the hospital inventory computer systems and related applications.

RESPONSIBILITIES:

  • Able to answer questions and assistance on the operation of the hospital inventory computer system PMM.
  • Through value analysis, investigates products, services and procedures for cost containment.
  • Review contracts to ensure hospital standards and governmental regulations are adhere to.
  • Coordinates purchasing procedure for goods and services, ensuring standard practices are follows for preparing purchase orders and processing of paperwork.
  • High level knowledge of computer programs and spreadsheets for pulling of data from computer systems and placing information in a format that has been requested by the department/hospital.
  • Ability to analyze and solve complex problems, provide guidance and instruction to customers, interact with customers of varying levels of expertise as well as the ability to communicate technical information to non-technical users and understand and follow direction.
  • Responsible for the purchasing of computer hardware for the organization and the review of software and license contracts.
  • Complete special projects and reviews data in various formats on information from PMM.
  • Writes special reports for the department.
  • Works with IT on computer requests and interfaces related to PMM.
  • Completes the annual mark up of patient charges related to the next year budget.
  • Responsible for leading in the procurement of supplies, equipment, materials and services for the hospital; ensure orders with vendors for routine hospital supplies; contract and vendor negotiations, while promoting the organization’s core commitments and demonstrating competence in making sure all orders are accurate according to the department records.
  • Assumes the responsibilities of the Purchasing Agent, Clerk III and Purchasing Assistant in their absence.
  • Responsible for establishing and maintaining a process for evaluating implementing and reviewing the hospital’s GPO (Group Purchasing Organization) participation and local contracts.
  • Works with all departments reviewing operations looking for opportunities to reduce cost and increase patient satisfaction through the use of the GPO contracts.
  • Supports projects through researching cost information and presenting reports as needed.
  • Oversees changes to PMM (Pathway Materials Management) and MSSS (McKesson Strategic Supply Sourcing) relating to price, units of measure, EDI tractions, and contract changes.
  • Assists in the training of staff in the hospital to utilize PMM in daily work.
  • Demonstrates excellent communication skills both orally and verbally

QUALIFICATIONS:

Required:

  • High School diploma or equivalent
  • Experience with functional analysis and database design of personal computer hardware, software and operating systems and the demonstrated ability to learn new hardware/operation systems/software independently
