We are looking for a detail-oriented and people-focused Physician Recruitment Coordinator to join our team! The Physician Recruitment Coordinator is responsible for the sourcing, recruitment and onboarding of Physician and Advanced Practitioner Provider candidates. This position under the oversight of the SVP of Strategic Integration and Chief Medical Officer will advertise and market open positions as well as maintain applicant tracking data on all APP and Physician candidates.

  • Prepares ad layouts for review and approval.
  • Gathers advertising venue costs and administration information and evaluates cost effectiveness of advertising to review with SVP and CMO
  • Prepares and places ads and documents expenses appropriately in candidate tracking database. Track when ads are due and renew/discontinue as appropriate.
  • Proactively “mine” candidates from databases and ad sources where appropriate entering candidates into the candidate tracking database and conducting appropriate and timely follow-up.
  • Projects a professional image at all time.
  • Awareness of changing open positions and priorities and attention to appropriate follow-up.
  • Maintains process checklists for departmental functions, maintains calendar reminders for follow-up with candidate functions.
  • Consult with SVP and CMO to cost effectively and efficiently market open physician positions (for example on-line, journals, e-mail, e-mail blasts, direct mail, career fairs, residency/fellowship job fairs and programs) and source top quality physician candidates through marketing efforts, networking, and subscribed databases and resources.
  • Track and record financial data and costs for the department, individual positions, and candidate interactions.
  • Submit expenses and invoices to accounting in a timely manner.
  • On a monthly basis, export expenses information into a working spreadsheet for the SVP and CMO with explanation of expenditures
  • Extract and create reports on financial, sourcing, and position data as requested.
  • Comply with safety policies and procedures, regulatory requirements, (including OSHA, CMS, The Joint Commission, etc.) and to participate in system-wide and department safety activities.
  • Understand hospital’s mission, vision, values, culture and policies.
  • Adhere to policies processes and compliance regulations.
  • Expectations provided the overall work assignments of this position and are not intended to include all ‘performance expectations’ specific to the position.
  • Schedule Meetings and Update Calendar – Maintains an accurate appointment calendar for self
  • Confidentiality and Customer Service – Establishes meeting notices and makes all necessary arrangements for rooms, AV equipment and other preparations as necessary. Maintains a high level of confidentiality in both verbal and written communication within the department, the organization, and customers. Shares information only with those who have a need to know.
  • Independent planning, organizing and completing of daily work within guidelines established by the SVP and CMO to ensure efficient workflow

  • Bachelor’s degree in Human Resources, related field or equivalent experience.
  • Experience in or ability to learn working with database applications.
  • Must possess exceptional communication skills, both written and verbal to include the correct use of grammar, spelling, punctuation, knowledge of business correspondence and formats as well as a clear and distinct speaking voice.

  • Experience within a health care system
  • Physician Recruitment or Physician Recruitment Marketing and Sourcing.
  • Should make consistent progress toward achieving degree
  • Proofreading skills.
  • Demonstrated process improvement ability.

Helpful Skills
  • Proficient in Microsoft Office Applications (Word, Excel, PowerPoint, and Outlook).
  • Proficient in In-Design software or the ability to learn.
  • Proficient keyboarding skills.
