LegalZoom is the nation's leading provider of personalized, online legal solutions and legal documents for small businesses and consumers. We are looking for a highly organized, proactive, and detail-oriented Head of Executive Assistant Office to join our team.

The Head of Executive Assistant Office will be responsible for being the primary Executive Assistant to the CEO and CFO, and managing a team of executive assistants who support LegalZoom's executive leadership team. This position requires a self-starter who can anticipate the needs of executives and manage the workflow of the executive assistants.


You will

        Directly manage the schedules of the CEO and CFO, ensuring their time is spent most effectively and efficiently against the greatest priorities for the organization

        Manage a team of executive assistants and oversee their daily work assignments

        Anticipate the needs of executives and provide proactive support to ensure their schedules are optimized

        Work closely with the executive leadership team to ensure all administrative tasks are handled in a timely and efficient manner

        Maintain a high level of confidentiality and discretion when handling sensitive information

        Plan and coordinate executive meetings, events, and travel arrangements

        Develop and maintain relationships with executive assistants to the board and investor relations, ensuring an effective and well-planned out meeting cadence, management and distribution of materials, and logistics for our board interactions and investor meetings.

        Collaborate with other departments to ensure effective communication and coordination of tasks

        Conduct performance evaluations and provide coaching and mentoring to executive assistants

        Identify opportunities to streamline processes and improve efficiency within the executive assistant office

        Participate in special projects and initiatives as needed

You have

        Bachelor's degree preferred in Business Administration, Communications, or related field

        8+ years of experience in a similar role, preferably in a fast-paced environment

        Strong leadership skills with experience managing a team of executive assistants

        Excellent organizational and time-management skills with the ability to multitask and prioritize  competing demands

        Exceptional interpersonal and communication skills, both written and verbal

        Proficient in Google Workspaces (Gmail, Calendar, Docs, Spreadsheets, Presentations) and Microsoft Office suite and experience with online scheduling tools

        Ability to maintain a high level of confidentiality and discretion

        Strong attention to detail and problem-solving skills

        Experience working in a legal or professional services environment is a plus


Actual compensation offered will depend on several factors including but not limited to: geographic location, work experience, education, skill level, and/or other business and organizational needs. In addition, an annual bonus, incentive bonus and/or restricted stock units may be provided as part of the compensation package.
