Role Mission: The Development Team Events Manager will play a critical role in enabling the Development team to raise $20M through regional fundraising and community engagement events in pursuit of the $70M Advancement Team fundraising goal to support college scholarships & expansion. The person in this role will do this by developing and managing event project plans and event logistics for signature and community events in each of IDEA’s regions in order to design events that will attract and cultivate gifts & support from a broad range of constituents.

 

  1.  [Gala] Support regional director of development - RGV to raise $600K in net proceeds for the Dinner & Auction event by June 30, 2020.
  • Collaborate with regional director of development and marketing team liaisons to determine event vision and theme
  • Develop, manage and execute project plan and manage event coordinators and other support staff to deadlines defined in the plan
  • Create compelling event materials to compliment event program, designed to engage new and repeat guests so that new guests become committed supporters of IDEA and repeat guests feel inspired and energized to continue supporting IDEA
  • Support regional director of development to determine event budget and manage vendors and expenses to event budget

 

  1. [Signature Event Fundraising} Manage regional advancement signature event logistics and speaker selection process to raise $1M in regional events fundraising (60%)
  • Collaborate with regional directors of advancement and marketing team liaisons to determine event vision and theme
  • Create compelling event materials to compliment event program, designed to engage new and repeat guests so that new guests become committed supporters of IDEA and repeat guests feel inspired and energized to continue supporting IDEA
  • Lead selection process for student or alumni speakers to ensure compelling and captivating event programs that will resonate with the audience and reinforce event theme
  • Ensure creation, preparation and delivery of high-quality event programming, scripts, and remarks
  • Manage event coordinators to train student volunteers to properly greet and interact with guests
  • Carefully craft the logistics of “the ask” at the end of each event so that it resonates with the region’s audience and yields at-event donations from guests
  • Manage stage coordination and logistics during the vent to ensure a comprehensive and error free program
  • Support regional director of development to determine event budget and manage vendors and expenses to event budget

 

 

  1. [Signature Event Logistics] Manage signature event logistics and student speaker selection so that events are evaluated as 90% satisfactory or better by panel of selected internal and external stakeholders
  • Develop and manage clear annual events operating calendar for all supported development events by June for the following fiscal year
  • Develop and manage project plans for 5+ signature regional luncheons or galas
  • Manage event coordinator to support 5-6 additional regional engagement events
  • Schedule and lead pre-event check-in meetings and post-event debrief meetings
  • Lead on selection and coordination of event venue and vendors for catering, décor, rentals, IDEA gift bags or favors, parking, signage, etc.
  • Collaborate with Regional Directors of Advancement to track event RSVPs and create seating arrangements
  • Select vendors and develop process for event registration or check in and manage registration attendants
  • Collaborate with marketing team to obtain high quality graphics, invitations, and event photography
  • Create, communicate & execute volunteer plans
  • Build relationships with regional leaders and support staff to identify efficiencies and regional norms
  • Manage event coordinators to coordinate easy and efficient event set up and tear down
  • Support regional director of development to determine event budget and manage vendors and expenses to event budget

 

  1. [Community Event Logistics] Manage community event logistics and student speaker selection so that events are evaluated as 90% satisfactory or better by panel of selected internal and external stakeholders
  • Develop and manage project plans for 1-2 groundbreaking or ribbon cutting ceremonies per region across 7 regions
  • Schedule and lead pre-event check-ins and post-event debrief meetings
  • Select vendors and develop process for event registration or check in and manage registration attendants
  • Lead the selection process for student and or alumni speakers in conjunction with support provided by the alumni finance team
  • Work directly with student ambassadors to schedule time to develop their speeches and talking points and rehearse
  • Manage event coordinators to train student volunteers to properly greet and interact with guests
  • Coordinate any necessary rehearsals, rehearsal space and student transportation
  • Manage event coordinators to support easy and efficient event setup and tear down

 

 

Supervisory Responsibilities: Manages Events Coordinator

 

Qualifications:

  • Education: Bachelor’s Degree
  • Experience:
    • 2+ years professional experience in event coordination, preferably in education, or within a nonprofit 
    • 2+ years project management experience preferred

Knowledge and Skills:

  • Understands and respects the diversity of family economic, linguistic, cultural backgrounds and situations
  • Superior communication skills, written and verbal
  • Superior attention to detail and record management
  • Spanish Fluency- reading writing, speaking (preferred)
  • Working knowledge of Microsoft Office; Outlook, 360, sharepoint
  • Ability to work flexible hours, including evenings
  • Ability to travel 50% of the time
