What You Will Do     
As a project coordinator in the Resource Management Office (RMO) you will be responsible for the planning, scheduling, and allocating resources to a project or program, capacity management, governance in accordance to the best practice. In essence, this function will manage the end-to-end process of allocating resources to achieve the greatest organizational value. The expectation is that the right resources are being available at the right time for the right project. As a project coordinator, you will be carrying out routine tasks to ensure effective and efficient resource management. You will be working closely with the Customer Success Managers, Customer Success Specialists and Professional Services team in processing their requests for project resources. You will also be coordinating resource allocation with professional services managers, reviewing the resource planner in FinancialForce and discussing any resource queries and concerns. You will be responsible for creating and tracking resource assignments in FinancialForce and reviewing and approving related resource timecards and travel expenses, weekly. You will also be producing regular resource management reports for internal and customer consumption.  You will be responsible for capturing relevant project updates in SalesForce, processing Work-At-Risk (WAR) requests and other special inflight project resource requests, auditing projects to ensuring the project repository is kept up to date with completed artifacts and tracking minor services requests (sev3+) on behalf of Customer Success Managers.   
 
Fixed Shift timings - Night Shift - 2am to 10 am IST (Sunday to Thursday) 
  • Reviewing and processing resource requests (pre/post sale).
  • Resource allocation and conflict resolution.
  • Manual Synchronization of assignment (Resource Planner) with resources’ calendars.
  • Coordinate internal resource management meetings with resource managers, including capturing meeting notes and actions.
  • Creating and updating resource assignments in SFDC system.
  • Tracking project progress and capturing project updates in SFDC (e.g. status, milestones) and Review and approval of Travel expenses for project resources in SFDC.
  • Completes timesheet reviews / ensures timely completion by all on project team in SFDC.
  • Processing Work-At-Risk (WAR) requests for inflight incomplete projects.
  • Management of the Resource Planner in FinancialForce (system hygiene / housekeeping).
  • Generating and reviewing resource planning capacity reports.
  • Reviewing and reporting resource capacity status against current and forecast business requirements (resource capacity planning).
  • Track project expenses (invoiced) against Sales Order.
  • Assist in the development of monthly resource management project reports.
  • Supporting the contingent Worker Onboarding process (3rd party contracting resources).
  • Coordinate with internal resources and third-party vendors for the execution of projects.
  • Supporting project teams with relevant forms, accessing best practice guides and material.
  • Weekly Project Data quality Reviews including storage of completed project artifacts.
  • Liaising with project team members on resource and project governance related issues.
  • Tracking service desk incidents (Sev 3+) and feature requests for CSMs; this includes liaising and chasing internal stakeholders for updates.
  • Communicate effectively with other internal stakeholders, as needed.
  • Assist the Customer Management Office Manager in day-to-day operations and provide administrative support within the department.
     
What You Will Bring To Forescout     
  • 3- 4 years of experience in a project admin/ management setting.
  • Proven experience in project administration & Project Management, preferably in IT security, network, and/or IoT technologies.
  • Efficient processing of resource requests against set Operation Level Targets.
  • Effective resource assignments i.e. right resources are being available at the right time for the right project.
  • Ensuring resourcing bottlenecks and conflicts, resulting in unplanned project delays and issues, are minimized on a reasonable endeavour basis.
  • An accurate and up-to-date Resource Planner in maintained in FinancialForce.
  • Ongoing resource reporting for internal and external consumption.
  • Effective planning of resources to ensure resource capacity is aligned to current and forecast needs.
  • Collaborating with project team members in ensuring adherence to project governance practices and processes.
  • Progression of minor service and feature requests in SFDC and JIRA.
  • Microsoft Office Application Proficiency.
  • Ability to take meetings notes and scheduling agenda.
  • Training and working knowledge of FinancialForce.
