Full-Time Academy Administrator
The Academy Administrator serves as the primary operational and administrative lead for the FC Dallas Academy. This full-time position is responsible for managing player registration and compliance, travel logistics, competition administration, scheduling, communication, game operations, and day-to-day academy support. The Academy Administrator works closely with coaches, technical staff, players, families, league officials, and club departments to ensure the academy operates efficiently and maintains the highest professional standards.
This role is critical in creating a world-class environment that supports player development and organizational excellence. The position requires strong organizational skills, attention to detail, the ability to manage multiple priorities, and a commitment to providing exceptional service to academy players, staff, and families. Nights, weekends, and holidays will be required based on the academy competition schedule.
Key Responsibilities
Player Registration & Compliance
- Lead all academy player onboarding processes, including registration, documentation, and compliance requirements.
- Coordinate player school enrollment and registration processes as needed.
- Manage OCPE registrations and associated documentation.
- Coordinate player physicals and medical clearance requirements.
- Administer player agreements, waivers, and required club documentation.
- Manage MLS NEXT player registration and roster compliance.
- Coordinate concussion testing and league-mandated player requirements.
- Process International Transfer Certificates (ITCs) and related international registration requirements.
- Maintain accurate player records and ensure compliance with league, federation, and club regulations.
Travel & Team Logistics
- Serve as the primary coordinator for academy travel operations.
- Coordinate all team travel arrangements including flights, hotels, buses, meals, and incidentals.
- Manage relationships with travel vendors and agency partners.
- Prepare detailed travel itineraries and distribute travel information to staff and families.
- Coordinate travel logistics for league matches, tournaments, and special events.
- Ensure all travel documentation and requirements are completed accurately and on time.
- Support international trip planning, logistics, roster management, and participant communication.
Competition Administration
- Manage league and competition registrations for all academy teams.
- Coordinate roster submissions and league compliance requirements.
- Submit lineups and required match documentation.
- Maintain player eligibility records and competition databases.
- Coordinate tournament registrations, roster submissions, and player card requirements.
- Serve as the primary administrative contact for league officials and competition organizers.
- Ensure all league mandates and operational requirements are fulfilled.
Academy Operations & Scheduling
- Manage daily academy operational schedules and calendars.
- Coordinate field assignments and facility usage.
- Maintain academy training schedules and competition calendars.
- Manage communication between coaches, players, families, and staff as directed by the club.
- Serve as the primary administrative liaison between the academy and other club departments.
- Support academy staff meetings and operational planning initiatives.
- Manage trialist communications, documentation, and scheduling.
- Coordinate player movement and roster management across academy phases and teams.
Game Operations:
- Lead home match operational planning and execution.
- Coordinate game day logistics for visiting teams and match officials.
- Manage referee assignments, payments, and communication.
- Coordinate match filming and video requirements.
- Ensure field setup and game day operational standards are met.
- Serve as the primary point of contact for visiting team administrators.
- Oversee match day compliance and league operational requirements.
Administrative Support & Special Projects
- Process invoices, check requests, and department financial documentation.
- Coordinate academy equipment ordering and inventory support.
- Assist with equipment distribution and organizational processes.
- Plan and coordinate academy events, meetings, and special initiatives.
- Support fundraising and payment collection efforts for academy programs and international travel opportunities.

Job Qualifications:
- Bachelor’s degree in Sports Management, Business Administration, Communications, or related field preferred.
- Minimum of 2–4 years of experience in sports operations, team administration, event management, or a related field.
- Strong organizational, project management, and administrative skills.
- Excellent written and verbal communication abilities.
- Experience coordinating travel, events, or logistics preferred.
- Proficiency with Microsoft Office Suite, Google Workspace, and database management systems.
- Ability to manage confidential information with professionalism and discretion.
- Valid driver’s license, clean driving record, and reliable transportation.
- Bilingual (Spanish) preferred.
- Knowledge of MLS NEXT, youth soccer operations, and FC Dallas Academy programs is a plus.
Work Environment & Requirements:
- Based in Frisco, Texas, with primary work at Toyota Stadium and training facilities.
- Ability to work flexible hours, including evenings, weekends, and holidays.
- Ability to travel for matches, tournaments, and scouting.
- Valid driver’s license and reliable transportation required.
- Ability to work outdoors in varying weather conditions.
- Must be authorized to work in the United States without sponsorship.
- Ability to lift and carry up to 40 pounds.
