Fully remote from Spain: Working hours based on Spanish business hours schedule.
Total Pay: The total pay is between €25,000- €28,000 Gross salary maximum, and is dependent upon location, experience, skills, and training.

What you will do: 
The Transactions Analyst is responsible for managing the flow of documentation between agents, clients, and external parties involved in real estate transactions. The role demands strong attention to detail and organizational skills to ensure the accuracy and timeliness of all transaction documents. This person will oversee the entire lifecycle of a transaction, from the initial contract to closing, ensuring compliance and reporting along the way.
  • Search and organize listing files for contract documentation.
  • Review transaction documents, such as Arras agreements, reservation agreements, listing agreements, simple notes, and other necessary real estate documents.
  • Ensure the accuracy of transaction files from entry to closing.
  • Enter data and transaction details into appropriate platforms.
  • Verify that all required documentation is uploaded in the CRM and follow up with agents for missing items.
  • Adhere to the transaction procedures outlined by the Team Lead.
  • Prepare and maintain transaction reports, including monitoring bank accounts for commission payments and creating invoices.
  • Send transaction documents to legal professionals as required.
  • Generate weekly/monthly lists of contracts nearing closing and follow up on outstanding tasks.
  • Report outstanding issues to agents and the designated managing broker.
  • Complete weekly flash reports on sales and listings.
  • Provide training on the local transaction platform and legal advice to agents.
  • Respond to Hubspot tickets in a timely manner and assist with the monthly newsletter.
  • Support additional reporting and documentation as needed for the transactions and agent details.

Knowledge and Skills Requirements:
  • Strong organizational and time management skills.
  • Familiarity with Spain real estate laws and tax regulations.
  • Proficiency in CRM platforms and transaction management tools.
  • Ability to manage high-volume transactions and maintain accuracy under pressure.
  • Experience in handling legal documentation and providing guidance on real estate contracts.
Experience Requirements:
  • 1+ years of experience in real estate back end transactions processing required 
  • Computer experience essential 
  • Knowledge of Real Estate transaction legal documentation strongly.
  • Basic knowledge of the local Real Estate Transaction requirements & RERA guidelines 
  • Knowledge of google sheet and excel.
  • Must be responsible, dependable and trustworthy 
  • Task-oriented, organized, pays attention to details, follows systems, team-worker 
  • Ability to build relationships with agents, conveyors, notaries, Designated Managing Broker 
  • Works well under time restraints 
Working Conditions:
Remote Location: This position allows you to work from any location with a stable internet connection. You will need to provide your own suitable workspace and internet access. Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. 
Work Hours: While there is flexibility in work hours, you will be expected to maintain regular availability during designated core hours for collaboration, meetings, and communication with the team. Outside of core hours, you can schedule your work to accommodate personal commitments or preferences, as long as it does not compromise project deadlines or team collaboration.
Equipment and Expenses: You will be responsible for maintaining a company computer, internet connection, and other necessary equipment. Any work-related expenses will be discussed and agreed upon in advance with the company.
