Position Summary: 

The Payroll Specialist is responsible for ensuring accurate and timely processing of employee payroll in compliance with federal, state, and local regulations. This role plays a critical part in maintaining employee trust by safeguarding pay accuracy, confidentiality, and adherence to company policies. The Payroll Specialist works closely with HR, Finance, and department leaders across the business to reconcile payroll data, resolve discrepancies, and deliver high-quality service to employees. 
 
Responsibilities: 
  • Process semi-monthly multi-state payroll on a regular basis, ensuring accuracy and compliance with applicable laws and regulations. 
  • Maintain comprehensive payroll records/database integrity, including new hires, terminations, wage adjustments, bonuses, and benefit-related deductions. 
  • Verify and audit timekeeping records, resolve discrepancies, and ensure adherence to overtime and leave policies. 
  • Reconcile payroll reports and prepare journal entries for accounting purposes. 
  • Provide timely, confidential support to employee inquiries regarding pay, taxes, and deductions with professionalism and discretion. 
  • Ensure compliance with tax filings, wage garnishments, and other statutory reporting requirements. 
  • Partner with HR and Benefits teams to support payroll-related employee lifecycle events. 
  • Complete year-end payroll related tasks including W-2s, tax filing and audits. 
  • Assist with employee stock plan vesting and other transactions. 
  • Complete audit requests and inquiries from external auditors and other third parties. 
  • Ensure compliance with internal controls and policies and procedures to support the rapid growth and expansion of the company. 
  • Perform and prepare ad hoc analysis, tasks, and reports 
Qualifications:
  • Typically requires a Bachelor’s degree and a minimum of 2 years of related experience; or an advanced degree without experience; or equivalent work experience.
  • Familiarity with federal and state payroll regulations.

Desired Skills:

  • Exposure to multi-state payroll, ideally covering 20+ states and including California.
  • Experience using payroll systems such as ADP, Paylocity, Workday, Rippling, or similar tools.
  • CPP certification or progress toward certification is a plus.

  • Strong attention to detail, highly organized, and trusted with confidential information. 
  • Excellent problem-solving skills with a service-focused approach to resolving issues. 
  • Excellent written and verbal communication skills, including ability to interact effectively with all levels throughout the organization.
  • Proficiency in Excel and ability to work with payroll reporting and reconciliations. 
  • Ability to work independently and to adapt to a fast-changing environment, with a sense of responsibility and urgency. 
For job positions in CA, CO, and NYC, the estimated salary range for a new hire in this position is $70,000.00 USD to $78,000.00 USD. Actual salary may vary depending on job-related factors, including knowledge, skills, experience, and location. In addition to a competitive base salary, discretionary target cash bonus, and restricted stock units (subject to Board Approval).
