The Donor Engagement Coordinator works under the supervision of the Donor Engagement Manager to support the creation and implementation of successful engagement opportunities. They are responsible for a portfolio of virtual events, campaign events, and regional events. They will support the coordination and execution of Climate Week events and signature events designed to engage donors across giving segments in New York City. The Donor Engagement Coordinator will also support the donor travel program marketing, invitations, internal coordination and donor communications. This position requires a self‐starter who is able to work both collaboratively and independently and possesses strong interpersonal skills.  

The position requires excellent project management, diplomacy and discretion, donor relations skills, writing and analytical skills, and the ability to adapt and think creatively. The Donor Engagement Coordinator must be able to manage multiple projects simultaneously, meet deadlines, and be highly detail‐oriented.  

This position performs a variety of project management, event and travel planning, and administrative tasks, including managing event and travel program mailing lists; responding to event and travel inquiries; staffing events; updating records in the database; and producing marketing collateral for the events and travel programs. 

This position is based hybrid in the New York City metropolitan area. The in-office schedule for this position is flexible with required availability for events.

Responsibilities:
 
Events & Trips Project Coordination (75%): This position is responsible for coordinating a portfolio of virtual events, salons, dinner parties, and signature events predominantly for the New York City and East Coast region. They produce high quality events in alignment with Earthjustice’s mission and values. They do this through: 
  • Creating timelines and invitation materials, organizing meetings with key stakeholders, drafting and distributing briefing memos, organizing list reviews, and providing day-of support. 
  • Working cohesively and collaboratively with staff, hosts, trustees, guests, venues and other parties involved in an event, integrating differing perspectives and keeping all parties regularly informed before, during, and after the event.
  • Coordinating across department teams to produce event invitations, travel program marketing materials, target audience lists, swag, and outreach strategies.
  • Collecting and sharing event and trip summaries and evaluations with key stakeholders. Recommending and applying modifications for future engagement opportunities.
  • Tracking and recording guest information in databases.
  • Traveling to staff in-person events as needed. 

Donor Marketing and Internal Communications (25%): This position supports the Donor Engagement programs through activities such as:Coordinating invitations and donor communications through platforms such as EveryAction and Outlook.  
  • Researching and utilizing best communication practices to increase deliverability and registration rates.
  • Providing best-in-class customer service.
  • Managing the regular review and update of event and travel program procedure documents and toolkits. 
  • Managing internal communication channels to keep the department updated with the newest information and resources pertaining to Donor Engagement events and travel programs.
  • Promoting team cohesion and a positive workplace culture by developing effective interpersonal relationships and participating in department, team, and organization wide meetings, and trainings.
  • Pursuing opportunities for professional growth.
  • Other duties, as assigned. 
Qualifications:  
  • Bachelor’s Degree and at least three years related work experience.
  • Strong organizational skills, including ability to handle multiple tasks, meet deadlines, and prioritize assignments.
  • Excellent verbal and written communication skills, and meticulous attention to detail, including strong proofreading and copy-editing skills.
  • Experience using effective interpersonal skills to build strong working relationships with donors, hosts, vendors, and all levels of staff.
  • Ability to maintain composure under pressure. Adjusts to changing conditions.
  • Proficiency in Microsoft Office Suite and Zoom Webinars; experience with donor databases such as BBEC or Salesforce; and, preferably, experience with platforms such as CVENT, ThankView and EveryAction.
  • Enthusiasm for communicating with supporters and potential supporters in person, on the phone and via e-mail.
  • Working knowledge of current trends in donor events and prospect engagement.
  • Comfort working independently and as a team member with initiative and flexibility.
  • Demonstrates awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds and orientations.

  • This position requires occasional extended travel, and occasional evening and weekend work. Valid driver’s license required.
  • Maintain CPR and Wilderness First Aid Response training in order to respond to emergencies in the field. Exercises judgement to mitigate risk and care for the safety of guests during donor trips and outings, in conjunction with trained guides and outfitters.

Skill in operating various office equipment. Ability to perform routine bending, stooping, twisting, and reaching. Salary depends on experience and location.    
Salary range in New York, NY: $86,000 - $95,500
