Legal Operations Analyst

The Legal Operations Analyst reports directly to the Legal Operations Manager and works closely with attorneys, human resources staff, and the Legal Operations team to review new matters and hires to identify and facilitate the resolution of potential conflicts in accordance with General Counsel policy. The Legal Operations Analyst assists with the conflicts-management process, including: timely processing conflict of interest searches for new legal matters and staff, building and maintaining ethical walls, drafting waivers and notices, and reviewing data quality for reporting. The Legal Operations Analyst will also assist in the administration of legal systems including Intapp (Open, Risk, Time, and Walls), and Litera Foundation, creating user accounts, testing system updates, working with Support, assisting end users. Understanding of legal conflicts, related ethical rules, and current developments is preferred.
The Legal Operations Analyst is expected to work a full time schedule (37.5 hours per week), and may work hybrid from the San Francisco Office or remotely in the U.S.
This is a non-supervisory position.
What You'll Do
Conflicts & Ethical Compliance Support (50%)
- Perform conflicts analysis for new hires, existing staff and matters, and escalate potential conflicts and risk issues to the Legal Operations Manager and General Counsel and support resolution in accordance with General Counsel policy.
- Review and analyze Intapp requests for new matters, contacts, and potential hires; independently conduct conflict searches using Intapp and web-based research, identify missing or incorrect information, and implement corrective measures as needed using tools to design, build, and maintain conflicts-related workflows and forms.
- Document conflicts-related processes, correspondence, decisions, and resolutions to maintain records and capture institutional knowledge.
Legal Operations Systems (45%)
- Administer, monitor, and maintain data in Legal Operations systems, including Intapp (timekeeping, matter opening, matter management, ethical walls) and matter intelligence systems by managing user accounts, permissions, configurations, and ethical walls.
- Create and maintain system documentation, coordinate and support user training, respond to user questions, and liaise with end users and administrators to ensure data integrity and effective system usage.
- Liaise with end users and other administrators to ensure data integrity and respond to complex client and matter information requests from a variety of internal customers. When needed, coordinate data collection and data cleanup efforts, and work with Earthjustice Database Administrator to create specialized reports.
Ongoing Compliance Support (5%)
- Build, monitor, and maintain ethical screens in Intapp Walls, including notice and waiver letters, and user restrictions and permissions.

What You'll Bring
- Bachelor’s Degree, or equivalent years of experience, with 3+ years of experience working with conflicts and matter databases in a legal department preferred.
- Understanding of legal conflicts, ethical rules and responsibilities, and current developments in conflicts of interest is preferred.
- Excellent verbal and written communication skills with strong interpersonal skills and the ability to work amicably across departments and regions while meeting goals and deadlines, with the ability to accept direction and constructive feedback, take ownership of work, and independently resolve problems.
- High quality work standards with excellent attention to detail, strong proofreading skills, critical thinking and analytical skills, and the ability to identify and correct errors to maintain information integrity.
- Strong professional ethics with a high level of discretion in handling confidential information.
- Ability to work independently, as well as collaboratively with a remote team, and effective multitasking skills, with the ability to analyze problems, resolve issues, and prioritize tasks and projects – especially during intake spikes.
- Experience with front-end administration of systems. Familiarity with Intapp, Elite, Aderant, or other matter management or conflicts systems preferred.
- Strong ability and desire to learn and adapt to new software and systems, including those incorporating AI.

Salaries at Earthjustice are determined by working location and are commensurate with the experience required.
The annual salary range for this role in San Francisco, CA or New York, NY is $86,000 - $95,500.
The annual salary range in Los Angeles, CA, Seattle, WA, Chicago, IL, or Washington, D.C. is $81,700 - $90,800.
The annual salary range in Denver, CO or Philadelphia, PA is $77,400 - $86,000.
The annual salary range in Miami, FL, or Houston, TX is $73,100 - $81,200.
Remote location annual salary range will depend on specific location ($73,100 - $95,500)
