We are seeking a dedicated and dynamic Front Desk Coordinator to join our team and contribute to our mission of delivering exceptional service and fostering strong client relationships.
 
As Dean Dorton’s first point of contact, you have the opportunity to show our clients they are our number one priority. And, in a role supporting team members, you’ll have the opportunity to know everyone and to contribute to the success of all. 
In this role, you will: 
 
 
  • Answer the firm’s main telephone line and forward calls as appropriate, taking accurate and complete messages for those team members who may be unavailable.
  • Greet guests personally, by name, and welcome them to our firm. 
  • Treat guests as you would at home – offering beverages and making sure they’re comfortable.
  • Ensure conference rooms are set up for meetings.
  • Assist team members with reserving meeting spaces and beverage/meal orders.
  • Sort and record mail and packages, including scanning incoming and outgoing mail, and other routine duties. 
  • Preparing and processing daily UPS/FedEx shipments and end of day reporting.
  • Provide backup document processing and scanning assistance.
  • Finally, you will shut down the office at the end of the day.
 
Qualifications 
 
  • Experience in an administrative role caring to the needs of employees and clients.
  • Personable presence, articulate, knowledgeable, and professional in presenting oneself in a professional setting.
  • Ability to prioritize and multi task.
  • Team oriented nature to work well with others and with various personalities.
  • Strong initiative required, able to work independently with minimal direct supervision.
  • Flexibility in dealing with simultaneous projects and request.
  • Attention to detail.
  • Working knowledge of Microsoft programs preferred, specifically Outlook, Word, Excel and PowerPoint.
