Understanding the Role
CCS Fundraising is seeking a self-motivated, reliable, and detail-oriented Operations Assistant to provide direct support to our Philadelphia office. The Operations Assistant will be responsible for office administration, meeting and event preparation, data and document tracking, and special projects as necessary.
 
The ideal candidate is highly resourceful, professional, and capable of managing their workload and prioritizing tasks in a fast-paced, deadline-oriented corporate environment. This is a full-time role and an excellent opportunity to build a career in a mission-driven, growing company.
 
Responsibilities
• Coordinate day-to-day operations of the office, including taking calls, interfacing with clients and CCS personnel, responding to emails, organizing office security access, addressing meeting requests and deliveries, and maintaining vendor relationships for technology, equipment, and supplies
• Coordinate and support meeting and event planning for internal and external audiences
• Perform administrative tasks as required, including copying, scanning, binding, errands
• Maintain contacts and track key documents and information in team and company-wide databases
• Format, edit, and enhance documents
• Collaborate with team members on special projects
• Develop and sustain a level of professionalism consistent with the firm’s mission and values
 
Qualifications
• Prior administrative experience
• Proficient in Microsoft Office, with the ability to become familiar with firm-wide specific programs
• High attention to detail
• Strong organizational, time management, and problem-solving skills
• Ability to multi-task effectively
• Outstanding written and verbal communications skills
• Ability to lift 25 pounds as needed
• Friendly and professional demeanor
