OVERVIEW: The Administrative Assistant Supervisor services to support the overall management of an Administrative Assistant team within a particular practice group or office.
The Administrative Assistant Supervisor is primarily responsible for leading a team of employees. Communicates company goals, best practices, and deadlines to the team. Motivates team members and assesses performance. Provides help to management, including hiring and training, and keeps management updated on team performance. Communicates concerns and policies among management and team members.
RESPONSIBILITIES 
  • Supervise Administrative Assistants and set day-to-day operational objectives for the team
  • Manage mail room issues and come up with effective solutions
  • Ensure policies, practices and procedures are understood and followed by direct reports and clients
  • Provides encouragement to team members, including communicating team goals and identifying areas for new training or skill checks.
  • Assist management with hiring processes and trains new hires on administrative duties.
  • Review all approvals and filings and keep up to date on any changes that have occurred.
  • Answers team member questions, helps with team member problems, and oversees team member work for quality and guideline compliance.
  • Generate and shares comprehensive and detailed reports about team performance.
  • Verifies entered data by reviewing, correcting, deleting, or re-entering data as required for accurate output (meeting quality standards).
  • Resolves discrepancies by using outlined procedures or returning incomplete files to the Paralegals for resolution.
  • Provides quality customer service, including interacting with clients, answering client inquires, and effectively handling client concerns/complaints.

  • Retrieve and/or return files
  • Other duties as assigned
SUPERVISORY RESPONSIBILITIES:
  • May coach, lead, and motivate team to meet strict deadlines.
  • May determine and adjust team and individual objectives.
  • May monitor and analyze department work to develop more efficient use of resources while maintaining a high level of accuracy.
  • May be responsible for establishing a positive work environment, providing career development opportunities, executing performance management, conducting feedback sessions, maintaining accountability, and establishing goals for continuous improvement.

  • Provide training to new and existing staff as needed.

Physical Requirements:

WORKING CONDITIONS: Able to sit and work at a computer keyboard for extended periods of time. Able to stoop, kneel, bend at the waist and reach on a daily basis. Able to perform general office administrative activities: copying, filing, delivering and using the telephone. Able to lift and move up to 25 pounds occasionally. Regular and on-time attendance. Must be able to prioritized, schedule and complete testing required for multiple applications with overlapping schedules. A certain degree of creativity and flexibility is required. Hours may exceed 40 hours per week. Occasional travel by conventional means including aircraft, motor vehicle and the like within the region and to other locations as required.
