PRIMARY RESPONSIBILITIES (Under the supervision of Office Services & Physical Security Manager):

  • Trains, supervises, provides direction, and develops the Office Service Assistant & Office Coordinator roles.
  • Performs general office needs, ordering supplies, handling office services, managing incoming and outgoing mail and FedEx shipments.  Maintains relationships with our various vendors - office supplies, FedEx, couriers, document management services (shredding, offsite storage and tape backups), coffee, carpet cleaners, building engineers, plumbers, electricians, movers, etc.
  • Ensures vendor invoices are verified and forwarded to the correct department and follow up as needed.
  • Maintains the copiers and printers (add/delete users, supplies toner and paper, and performs minor maintenance), assists IT moves PCs and phones when employees change locations, and assists with setting up video conferences as needed.
  • Ensures the common areas of the BAL office are organized, presentable, and well maintained at all times.
  • Ensures conference rooms are organized and schedules printed daily.
  • Works with the building property management company to obtain parking for employees, keeps employees informed of building memos, fire drills, and attends building management meetings for tenants.
  • Sets up FedEx accounts, copier access, etc. for new hires, orders name plates, prepares/sends new hire introduction email.
  • Facilities introduction/overview to new employees during orientation on their first day.
  • Develops relationships with counterparts at other firms in the building to exchange or obtain assistance when needed.
  • Perform daily shipment of packages via FedEx and other postal services.
  • Performs back up of records and assists with large projects (intake of files for new clients, shipping out files for previous clients, etc.).
  • Performs back up for the Receptionist when needed.
  • Updates intranet as needed.
  • Assists with event planning, maintains records of all office keys, and distributes checks to employees.
  • Performs filing, scanning, and distribution of checks that are received.
  • Oversee the office service functions for BAL offices located in the Central region.
  • Completes other tasks as assigned by the Office Services & Physical Security Manager.
  • Travel up to 30% to offices in assigned region.
  • Work between 8:00am-6:00pm to accommodate the needs of the firm.
  • Must be willing to be on call 24/7 to respond to any emergent issues relating to offices in assigned regions.
  • Be liaison between firm and office during the opening of new offices in assigned region.

    Qualifications:

    • 3 plus years of experience in an Office Service position preferably with supervisory experience.
    • High School diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
    • Must have excellent customer service skills.
    • Must have excellent organization skills.
    • Ability to process information in a fast paced environment.
    • High attention to detail and accuracy.
    • Must be proficient in MS Office Suite.
    • Excellent communication skills (verbal and written).

    WORKING CONDITIONS: Able to sit and work at a computer keyboard for extended periods of time. Able to stoop, kneel, bend at the waist and reach on a daily basis. Able to perform general office administrative activities: copying, filing, delivering and using the telephone. Able to lift and move up to 25 pounds occasionally. Regular and on-time attendance. Must be able to prioritized, schedule and complete testing required for multiple applications with overlapping schedules. A certain degree of creativity and flexibility is required. Hours may exceed 40 hours per week. Occasional travel by conventional means including aircraft, motor vehicle and the like within the region and to other locations as required.
