American Specialty Health Incorporated is seeking a Senior Executive Administrator to work with our Enterprise Security Programs department. This position will support the SVP and leadership within Enterprise Security.  This position is an active member of the information security compliance team and assists with meeting team objectives and maintaining high internal and external customer satisfaction. The successful candidate is highly proactive, extremely organized, and thrives in a fast-paced environment. 

Remote Worker Considerations:

Candidates who are selected for this position will be trained virtually and must have the capability to work from home in a designated work area with company-provided technology equipment. This position will require occasional onsite office work.  ASH requires all onsite employees and employees who travel for their position to either (a) establish that they have been fully vaccinated; or (b) obtain an approved exemption as an accommodation.

Responsibilities

  • Provides assistance to SVP and other Enterprise Security leadership as needed.
  • Maintains calendars and coordinates meetings with internal and external attendees; proactively resolves scheduling conflict.
  • Responds to clients, vendors, and employees on behalf of SVP as directed.
  • Manages task assignments as follow-up to meetings.
  • Assists with department purchasing and makes travel arrangements.
  • Prepares and submits expense reports on behalf of team members.
  • Prepares letters, spreadsheets, documents, presentations, and other reports as assigned.
  • Coordinates virtual team building events and celebrations.
  • Provides personal assistance to SVP as needed.
  • Acts as Department Workflow Coordinator
  • Accepts workflow into the department; tracks, schedules, and distributes assignments to team members. Workflow includes and is not limited to client security assessments, service desk tickets, and contract reviews.
  • Maintains workflow schedule and follows up to ensure tasks are completed on time.
  • Escalates concerns regarding the team’s ability to meet timeframe expectations and other urgent issues.
  • Provides data points in a timely manner to assist SVP with quarterly reports.
  • Assists with meetings facilitated by the SVP.
  • Maintains and prepares meeting agendas.
  • Coordinates schedules and document distribution in a timely manner.
  • Takes accurate notes and maintains an action log.
  • Coordinates projects as assigned by SVP.
  • Performs research and prepares documentation.
  • Interacts with department managers and other staff to provide or obtain information and to facilitate projects.
  • Assists the team with staff training on new security deployments, as needed.

 Qualifications

  • Bachelor’s Degree or equivalent experience. If equivalent experience, high school diploma required.
  • Minimum five years providing executive level administrative support; experience supporting multiple positions in technology roles preferred.
  • Experience managing calendars and travel arrangements.
  • Demonstrated experience in a dynamic fast-paced environment.
  • Demonstrated experience with successfully managing concurrent high-priority assignments.
  • Project management experience with the ability to work independently.
  • Valid driver’s license with good driving record. Availability of automobile for on the job use and proof of insurance.
  • High competency level with Outlook, Word, Excel, and PowerPoint.
  • Strong ability to effectively organize, prioritize, multi-task, and manage time.
  • Ability to track technical conversations and take meeting notes.
  • Excellent verbal and written communication skills.
  • Ability to effectively organize, prioritize, multi-task and manage time.
  • Strong analytical skills, problem solving, and negotiation skills.
