This is a hybrid position which requires 8 days/month in the office. You can be based in our office in Washington DC, London, or The Hague. Existing work authorization is required at the time of application submission as WRI is unable to sponsor any visa work sponsorship for this position.

 

About the Program:

 

TheManagingforResults(MfR) team ensures WRI is equipped to understand if its work is contributing to the longer-term positive changes WRI intends to make in the world and fosters a culture of learning and accountability.TheMfRteam is an institutional resource, ensuring that WRIs programmaticteams are meeting internal and external standards for good practices inplanning, monitoring, evaluation,and learning (PMEL).Over the next 5 yearsMfRwill accelerate a step change in PMEL practices and culture at WRI to enhance programmatic effectiveness and demonstrate impact.

The specific goals of the step change in PMEL are to have:     

  • Robust, evidence-based ‘theories of change’ (ToCs) for programs and projects that are easily accessible for staff and partners to facilitate shared understanding and learnings
  •  Intentional pause and reflect cycles to review ToCs and M&E data, discuss the learnings and changes needed to achieve the results in the strategic plan
  • Sufficient PMEL specialist capacity in every WRI team to support timely, evidence-based, adaptive management
  •  WRI results that are easily verifiable, where contribution is well understood and WRI’s commitment to address social inequalities is reflected in the results  
  • Iterative cycles of evaluation that support ongoing reflection and learning, systemization and publication of lessons learned

 

Job Highlight:

 

Reporting to the RDI Senior Operations Manager, you will provide daily operational and administrative support for the Global Director of Managing for Results (MfR) and the MfR team’s suite of projects. You will support the MfR team's efforts by helping manage project and travel budgets, payment processing, vendor contracts, event logistics, data collection and tracking for operations processes and systems. You will assists in the management of MfR’s budgets, vendor contract payments, and international training workshops funded by a growing portfolio of grants and partnerships. You will be supported by the RDI Operations Manager, another MfR Program Coordinator and other operations staff across RDI’s core functions subgroups. You will work with the MfR Program Coordinator on workshop planning.

 

What will you do:

 

Budget and Expense Management (70%):

 

  • Track MfR team expenses for international conferences, workshops, and retreats. This includes managing event logistics, participant travel, hotel contracts, budget estimates, and procurements
  • Support MFR team leaders with corporate credit card and travel expense reports in Concur (WRI’s travel and expense system)
  • Update the MFR team’s expense forecasts in TM1 and analyse Cognos reports for communicating budget availability back to the MFR team
  • Track travel, online subscriptions, receipts, and other non-labor expenses related to MFR team operations
  • Track budget and expense-related tasks and operations in Asana (project management software)
  • Create Asana templates for operations related requests from team leaders (new contracts, amendments, work orders, expense forecasting, etc)
  • Advise MfR team members on WRI policies and procedures for travel, events, workshops and other logistics relevant to MfR activities
  • Identify problems or delays in operations and escalate [as necessary] to the RDI Senior Operations Manager for guidance
  • Support and advise MfR Program Coordinator on expense and budget-related operations related to scheduling and planning of PMEL meetings and workshops with project teams
  • Accounting and financial document filing, keeping and maintenance
  • Provide timesheet guidance for MfR team members when needed
  • Additional ad-hoc operational duties

 

Sub-agreement Management (30%): -

 

  • Coordinate the submission of invoices from vendors and consultants consistent with WRI’s internal policies and accounting standards
  • Monitor subagreement deliverables and payment schedules and alert the RDI Senior Operations Manager when vendor contract budgets need additional funds
  • Assist the RDI Senior Operations Manager with drafting and managing consultant procurements, subagreements and amendments
  • Support in clarifying grants & contracts related policies, guidelines, and procedures to staff.

 

What will you need:

 

  • Education: You have completed a bachelor’s degree in a relevant field (e.g., business administration, economics, public or non-profit administration, international development
  • Experience: You have a minimum of 2 years of full-time professional experience with operations tasks including invoice payments, travel arrangements, event logistics, project accounting and financial administration
  • A high degree of computer literacy, including knowledge of the MS Suite and Google Workspace, and proven ability to quickly learn new computer software
  • A creative, problem-solving orientation and pro-active frame of mind
  • Ability to work synchronously or asynchronously whether it is in Miro, Asana, virtual meetings or in-person workshops
  • Ability to work collaboratively with colleagues in different time zones and countries where English is not an official language
  • Proven verbal and written communications skills, visual communications via MS PowerPoint, Google Slides, etc. is preferred
  • Strong process orientation with sensitivity to quality, timelines, and organizational systems
  • Ability to bring a learning and curious mindset to work

  • Languages: Fluent in English
  • Requirements: Existing work authorization is required where this position. WRI is unable to authorize visa work authorization

 

Potential Salary: US salary range is between 57K and 62K USD. UK: 30K - 37K GBP.NL: 42K – 50K EUR. Salary is commensurate with experience and other compensable factors.
