JOB DESCRIPTION
 
POSITION:                 Supply Chain Administrative Coordinator 
 
LOCATION:               Supply Chain Department—World Headquarters
 
REPORTS TO:            Vice President of Supply Chain Management
 
Position Overview
 
The Supply Chain Administrative Coordinator is responsible for managing and maintaining business systems such as Fusion Life Cycle, Ideagen and Provalido databases. This role also supports coordination of essential team activities and ensures documentation meets established standards. Success in this position requires exceptional organizational abilities, strong technical aptitude with business systems and Excel, and effective communication skills to successfully interact with stakeholders across all organizational levels.
 
 
Responsibilities:
 
 
  • Performs general administrative duties including answering phones, forwarding messages, general filing, ordering supplies, coordinating meetings and activities, event planning and employee engagement, completing expense reports and preparing VISA applications for supply chain personnel.
 
  • Complete DocuSign Price Change Forms– Notifies the appropriate department managers of the new approved price list so buyers can update BPA as needed.
 
  • Maintain Sourcing records as required in Sourcing Operations Manual and other documentation according to ISO requirements.
 
  • Performs computer maintenance (BPCS) to purchasing files and records including buyer/planner code assignments and PO receipts in both BPCS and VKS for Kanbans.
 
  • Maintains and updates information for and included in our functional databases including Fusion Life Cycle, Ideagen and Provalido.
 
  • Maintains office supplies, office supply expense report validation and the preparation and submission of uniforms and janitorial supplies expense reports.
 
  • Prepares and distributes confidentiality agreements and credit reference letters.
 
  • Create and distribute data driven reports on an as-needed basis
 
  • Receive Purchase Order as requested within ERP system.
 
  • Participate and take minutes for various meetings including the Weekly Operations Calls and other scheduled events.
 
  • Assist other Managers and personnel within the Supply Chain department on special projects.
 
  • Maintain various Supply Chain metrics as required.
 
  • Manage office supplies inventory based on team requirements.
  • Coordinate team-building activities.
 
  • Business Excellence -Support 5S (Events and Training), Document Retention Lead for Supply Chain (Data Cleaning & Sorting as required; lead various Excel Projects as required.
 
 
 
Qualifications:    (Education, Experience, and Personal Attributes)
 
 
  1. Experience in administrative support or office management.
  2. Excellent computer skills with full competency with  Microsoft Outlook, Word, Excel, PowerPoint, and Experience with ERP systems desirable.
  3. Experience in administrative support or office management.
  4. Excellent organizational skills and ability to manage multiple priorities.
  5. Effective communication skills.
  6. Must be responsible, reliable, and self-motivated. 
  7. Ability to interact effectively with all levels of management required.
