The Retention & Records Officer role involves accurately analyzing and evaluating student records and supporting documents. It is an administrative role, with the ideal candidate possessing past experience working in a detail-oriented academic environment.

40 hours per standard work week, from 8 a.m.
to 5 p.m. Tuesday to Saturday, with a one hour unpaid lunch break each day.

 Responsibilities  

  • Oversee the student progression and graduation process and update relevant departments.
  • Organize student records (paper and electronic) in a timely and efficient manner, following approved policies and procedures.
  • Maintain, organize, and regularly update all reports regarding students, including class registration roll, new grades, attendance, finances, etc.
  • Collaborate with Student Services and Academics to process applications in a timely manner.
  • Issue official student documents.
  • Ensure all student files are in accordance with Government regulations.
  • Maintain a thorough knowledge of the College's admissions policy and Government regulations.
  • Keep student information confidential and secure to protect the privacy of all students.
  • Perform other related duties as required. 

Education and Experience

  • Post-secondary education is required.
  • A minimum of 2 years of related experience working in education is required.

Knowledge and Skills

  • Strong communication skills in all forms including written and oral.
  • Exceptional computer skills – experience in Microsoft Office applications, Outlook e-mail, and database experience.
  • Excellent planning, organizational, and multi-tasking skills.
  • Attention to detail and great flexibility.
  • Must be able to work in a fast-paced environment with many deadlines.
  • Experience in an academic setting is an asset.
  • Ability to work to deadlines and achieve goals.
