Description:
The Fleet & Asset Administrator is responsible for supporting Triage Partners by maintaining accurate fleet, vehicle, equipment, and asset records across the organization. This role manages the day-to-day administration of company vehicles, trailers, equipment, registrations, insurance documentation, maintenance records, recalls, driver assignments, and fleet management systems. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable working closely with Operations, Field Managers, vendors, insurance carriers, and fleet management companies to keep the fleet organized, compliant, and field-ready.
Responsibilities:
•Maintain accurate records for company vehicles, trailers, equipment, and other fleet-related assets.
•Track and update registrations, insurance documents, maintenance records, recall notices, titles, VIN records, serial numbers, ownership records, and asset transfers.
•Manage asset inventories for vehicles, trailers, excavators, bucket trucks, generators, telecom equipment, and related field assets.
•Support fleet management systems, including asset setup, driver assignments, device management, reporting, and data accuracy.
•Build and maintain fleet reports using Excel, including vehicle schedules, registration tracking, recall tracking, insurance schedules, and asset audits.
•Coordinate daily with drivers, Field Managers, Operations, vendors, insurance carriers, and fleet management companies to resolve open items.
•Follow up on service requests, quotes, repairs, maintenance scheduling, registration delays, missing titles, open recalls, and driver assignment discrepancies.
•Support compliance processes related to DOT requirements, vehicle registrations, insurance requirements, recalls, driver qualification files, and DVIR documentation.
•Escalate problems appropriately and drive issues to resolution with clear communication and follow-through.
•Look for opportunities to improve fleet processes, reporting accuracy, documentation, and support for field operations.
Qualifications:
•Associate's Degree preferred; equivalent experience will be considered.
•2-5 years of experience in fleet administration, equipment administration, operations coordination, logistics coordination, transportation coordination, or a similar administrative support role.
•Strong working knowledge of Microsoft Excel, including filters, sorting, Pivot Tables, VLOOKUP/XLOOKUP, and data management.
•Experience working with asset databases, fleet reports, vehicle schedules, insurance schedules, registrations, recalls, or maintenance records.
•Experience with fleet management systems such as Samsara, Enterprise Fleet Management, Geotab, Verizon Connect, Fleetio, or Motive preferred.
•Basic understanding of fleet compliance processes, including DOT regulations, vehicle registrations, insurance requirements, recalls, driver qualification files, and DVIR requirements preferred.
•Telecommunications, utility, construction, transportation, or field operations experience preferred.

•Comfortable coordinating with dealerships, repair vendors, fleet management companies, insurance brokers, and equipment suppliers.
•Ability to manage confidential and compliance-sensitive information with professionalism.
