Description

We are hiring a Scheduler to join our growing team. You will prepare and manage work schedules for health services employees to ensure the appropriate staff levels are available for each work shift. Mitigates use of overtime. Engages and coordinates with temporary staffing agencies. Processes health services employee records, timecards, and time-off requests. What You Will Do:
  • Creates and maintains real time staffing schedules for health services (skilled nursing, assisted living, memory care) utilizing Kronos advanced scheduling software.
  • Develops schedules based on established staffing patterns, policies, approved employee preferences, and manager’ s requests. 
  • Adapts to constant changes in staff availability with focus on mitigating overtime, use 
of double shifts, and other premium pay. 
  • Revises and adjusts unit schedules as needed. Consults with managers and others 
regarding staffing and scheduling needs, such as creating flexible staffing alternatives. 
  • Schedules staffing for all levels of care, arranging for temporary staffing from external 
agencies as necessary. Schedules modified duty staff. Monitors leaves and absences.
  • Monitors and updates scheduling software system hourly and daily.
  • Notifies employees of tardiness, missed punches and break issues in real time. Obtains 
and enters Time Correction Notices (TCNs) and meal waivers.
  • Posts daily staffing and census changes per shift within the workplace following all 
changes. 
  • Tracks daily Nursing hours per patient and census.
  • Tracks and records staff utilization of holiday, sick, PTO, O/T, and long-interval 
tardiness, etc.
  • Maintains a variety of records, files, assembles charts for new admissions, Orders, 
receives and completes charge forms for supplies for residents.
  • Maintains resident lists to include census, diet list, and lists of charts that leave Health 
Center.
  • Performs a wide variety of clerical duties, telephone coverage, use of pager system to 
facilitate the operation of the Health Center or assist Nursing Services.
  • Prepares employment forms, leave requests, payroll, and timecard records in 
coordination with Human Resources and Business Office Manager. 
  • Provides Payroll-Based Journal (PBJ) reporting including assignment sheets, 
documentation for annual audit, and copying credentials.
  • Monitors timecard processing and approvals. Maintains registry use documentation.
  • Monitors actual versus budgeted staff expenses on a monthly basis, reports to Director 
of Nursing and Administrator.
  • Develops and reports daily census and trends to the Director of Nursing. Provides monthly 
reports to the Executive Director and Administrator.
  • Develops and maintains positive working rapport with other departments within the 
facility and with outside community agencies.
  • Arranges transportation for residents as needed.

Who You Are:
  • You enjoy working with people and have exceptional interpersonal skills. You can use tact and courtesy in dealing with residents under sometimes trying conditions. You can show patience and understanding. You enjoy variety in your day and enjoy a fast-paced environment.
  • High School Diploma or equivalent required, college degree preferred. Minimum five (5) years general office experience required, preferably in a healthcare environment, including experience with scheduling software. Previous experience in an acute care setting and/or doctor's office preferred.
  • Experience or familiarity with ADP advanced scheduling preferred.
