What you’ll be working on:
The Lease Administrator will be responsible for managing lease documents, ensuring lease term compliance, and coordinating communication between internal and external teams. The position requires strong attention to detail, exceptional analytical skills, excellent communication, efficient organizational capabilities, and the ability to handle a growing real estate portfolio in a fast-paced environment.
What you have:
Essential Job Functions:
- Lease Administration – Manage the lifecycle of lease agreements, from document execution through renewal, to agreement expiration or termination.
- Data Management - Enter and maintain accurate lease data into the lease management system. Ensure data integrity and consistency across all records. Retain all lease related documentation in organized manner according to internal company data retention policies.
- Rent & Payment Tracking – Track scheduled lease payments and billing statements to ensure timely and accurate payment processing. Address any discrepancies and ensure proper accounting for all lease-related transactions
- Landlord & Tenant Relations – Serve as point of contact for landlords and internal teams regarding lease matters. Foster positive relationships and communicate effectively both orally and in writing
- Compliance & Reporting – Monitor lease compliance, ensuring all obligations are met in a timely manner (rent payments, lease renewals, maintenance obligations). Prepare and maintain various reports and summaries for internal stakeholders
- Lease Audits – Assist with internal and external audits related to lease agreements, ensuring proper documentation and compliance with company policies
Required Knowledge, Skills, and Abilities:
- Strong understanding of lease agreements, terms, and conditions
- Ability to manage multiple tasks simultaneously and prioritize effectively
- Excellent written and verbal communication skills
- Strong analytical and problem-solving abilities
- Exceptional organizational skills and attention to detail
- Experience with lease management software (preferably CoStar)
- Proficient in Microsoft Office Suite (Excel, Word, Outlook)
Minimum Required Education, Training and Experience:
- Bachelor’s degree in business administration, Real Estate, or a related field; or a combination of education and experience that yields the required knowledge, skills and abilities
- Minimum 5 years commercial real estate accounting, or lease experience such as Lease Administrator or Lease Analyst
