Purpose of Position:

The Production Coordinator plays a critical role in supporting manufacturing leadership by managing administrative functions, coordinating strategic initiatives, and streamlining operational processes. This position ensures the effective execution of production plans, continuous improvement projects, and resource tracking while facilitating communication across teams and vendors. Through proactive scheduling, documentation management, and logistical coordination, the Production Coordinator contributes to the overall efficiency, accuracy, and success of manufacturing operations.

Essential Duties/Responsibilities:

Payroll Coordination

  • Support payroll processing and workforce timekeeping activities for Henderson and 8020 operations.
  • Perform global balancing to ensure payroll accuracy.
  • Enter and maintain PTO and sick leave records.
  • Prepare and submit contract employee timecards to the appropriate staffing agencies.
  • Prepare and submit terminated employee timecards to Human Resources and Plant Management for processing.
  • Verify and allocate job-dependent labor hours accurately.

Safety Program Scheduling and Coordination

  • Coordinate scheduling for IRT and SPARK meetings, including training sessions for the IRT team.
  • Attend meetings and maintain detailed, accurate meeting notes for distribution to the Director, Program Manager, and applicable shop management teams.
  • Support ongoing safety initiatives through administrative coordination and communication.

Uniform and Boot Program Management

  • Administer uniform programs for all shop employees, including new hire distribution, garment exchanges, inventory management, and invoicing for missing items.
  • Coordinate boot program requirements for new hires and manage the Cintas boot site program.
  • Maintain accurate records related to uniform and boot program utilization.

BUM Presentation and Employee Recognition Support

  • Prepare and update presentation slides for Business Unit Meetings (BUM), including new hire announcements, birthdays, and employee anniversaries.
  • Create birthday cards and recognition materials for shop personnel for leadership signature and distribution.
  • Support employee engagement and recognition initiatives.

Shop Event Planning and Coordination

  • Coordinate monthly shop breakfasts, including meal ordering, room setup, calendar invitations, and audiovisual arrangements.
  • Plan and organize shop events, employee appreciation activities, celebrations, and team gatherings.
  • Serve as the primary point of contact for event logistics and execution.

Employee and Management Reimbursements

  • Process and manage reimbursement requests for shop leadership and personnel, including SB corporate card expenses and other approved expenditures.
  • Ensure timely and accurate submission of reimbursement documentation.

Leadership Lunch Program Coordination

  • Schedule and coordinate shop luncheon events with leadership.
  • Manage event logistics, room setup, catering arrangements, and attendee communications.

Administrative Support

  • Provide administrative support to the Program Manager and shop leadership team.
  • Perform all other duties as assigned.

Minimum Physical Requirements and Accountability:

  • Frequent and prolonged periods of sitting, standing, and walking within the facility.  
  • Must be able to hear and communicate clearly and effectively in person, over the phone, and in virtual settings. 
  • Manual dexterity is required to operate computer, keyboard, and standard office equipment.
  • Close vision is necessary for reading, computer use, and performing detailed tasks.
  • Occasional reaching, bending, stooping, or kneeling may be required.
  • Noise levels are typically low to moderate but may vary, particularly for roles that involve time in field or shop environments.
  • Possible exposure to typical manufacturing-related hazards in certain job locations.
  • Must comply with all company policies and procedures.
  • Consistent, punctual attendance during core business hours is essential.
  • This position is primarily office-based and located in the Denver Metro Area. Reliable transportation is required for commuting and occasional travel between local corporate offices and job sites during business hours.
  • All employees are accountable for safety and health and are empowered to stop work if an unsafe condition is present. Employees should immediately notify their supervisor so that the hazard may be corrected.

Qualifications: 

  • High school diploma or equivalent; technical education or certification is a plus. 
  • 2 years of experience in a manufacturing environment (preferably in welding or fabrication) is preferred.
  • Demonstrate an understanding of continuous improvement initiatives and actively participate in Lean and Six Sigma-based process enhancements. 
  • Follow established objectives, guidelines, and standard operating procedures.
  • Demonstrate excellent problem-solving skills and can work independently.
  • Coordinates own tasks with a specific range of responsibilities in accomplishing well defined outcomes.  
  • Strong leadership, communication, and interpersonal skills, with the ability to influence and guide cross-functional teams.
  • Maintain high attention to detail and precision.
  • Contribute effectively to a team under the general supervision of an experienced professional or manager.
  • Strong commitment to workplace safety and maintaining a secure, compliant environment.
